How to Hold a Kerala Wedding for 250–400 Guests Under ₹10 Lakh

What does a 250-, 300- or 400-guest auditorium-and-sadya wedding cost, line by line?

Between ₹2.6 lakh and ₹6.95 lakh in priced lines, depending on guest count and on whether you take the floor or the ceiling of each band. Only one of those lines moves with the guest list: the hall, the mandapam and the coordinator cost the same whether 250 or 400 people sit in front of them.

Read across the bottom row and the shape is clear. At 300 guests with tax, the floor leaves close to ₹7 lakh of a ₹10 lakh ceiling unspent; the ceiling — ₹1.5 lakh hall, ₹800 sadya, ₹1.5 lakh mandapam — leaves under ₹3 lakh for everything a wedding still needs. The budget is not decided by the guest count. It is decided by which end of each band you choose.

How does this sit against the ₹10–20 lakh Kerala hall band we publish?

Under ₹10 lakh is the floor of that band with three things taken out: the second function, the premium menu, and the two-day film crew. We have not changed our published band. We are showing what sits at the bottom of it.

Our Kerala cost guide puts a one-day muhurtham with a sadya lunch for about 300 local guests at ₹10–20 lakh all in. That band already carries photography and film at ₹3–6 lakh, outfits, and room for a premium 36-dish sadya at ₹900–1,500 a leaf, which adds ₹1.5–2.1 lakh at 300 guests over the standard menu. A reception stage at ₹50,000–2 lakh doubles the decor line; a dinner the evening before doubles the food line. Those three decisions are the distance between ₹7 lakh and ₹18 lakh.

Public r/Kerala threads bear this out from the other direction: a self-funded couple reported 250 to 400 guests for ₹5–6 lakh with an air-conditioned auditorium and a sadya — just below the floor of our arithmetic, which is where a family doing its own coordination would land.

What must an AC auditorium package include in writing?

Chairs, tables, cleaning, waste removal, generator backup, changing rooms, parking and the hours the hall is yours — each written as a line, not promised in conversation. These are the items that reappear as invoices on the morning of the wedding when they were never written down.

Ask the hall manager to confirm each of these in the booking note before any advance moves:

• Chairs and tables for your full list, including the sadya sittings — a 700-seat hall does not always own 700 chairs.
• Cleaning before and after, and who pays if the hall is handed over dirty.
• Waste removal — for a banana-leaf sadya this is real volume and real cost.
• Generator backup: whether it exists, whether it powers the air-conditioning or only the lights, and who pays for fuel.
• Changing rooms for both families, with the number of rooms and the hours stated.
• Parking: how many cars, and whether a marshal is included.
• The hours the hall is yours, including the decorator’s setup window and the strike time.
• Whether outside catering and outside decorators are allowed. KRK Kalyana Mandapam in Palakkad and Sree Vaikundam in Thiruvananthapuram both list in-house or outside catering and outside decorators on their WedMeGood pages; others do not, and that clause decides whether your sadya rate is negotiable at all.

The families who report the cleanest budgets treated the booking note as a checklist rather than a formality. It is the highest-leverage hour in the process.

Where do photography, decor, make-up, cards and transport go — and why does gold sit outside?

These are the lines that decide whether you finish under ₹10 lakh, because the priced lines above already fit and these have no Kerala hall rate we can publish. Photography is the largest.

Our published photography and film band is ₹3–6 lakh, and it describes a two-day crew at a resort. One photographer covering a single muhurtham morning is a different commission; we have no hall-tier rate on record, so we will not print one. Where the pressure sits is clear enough: at 300 guests with priced lines at ₹3.3–7.26 lakh, a ₹3 lakh photography commission only fits if everything else is at its floor. Decide the photography scope first, then the rest of the day.

Make-up, invitations and guest transport behave the same way — real costs, no published Kerala hall band, each quoted for your scope. Put them on the sheet as named lines with a blank beside them rather than folding them into a contingency.

Gold is the deliberate exception. Kerala families budget it in sovereigns as a family decision and hold it outside the wedding total, which is why two weddings with identical halls and identical sadya get described as ₹6 lakh and ₹8 lakh by the families who paid for them. Which extras get added after booking, and how do you get them into the package?

Generator fuel, extra chairs, extra sadya sittings, overtime on the hall, cleaning and waste, and per-head charges on guests above the confirmed count. Each is legitimate. Each is only a shock when it was not written down.

The method is the same for all of them: turn every assumption into either an inclusion or a named unit rate. What does an extra sitting cost? What is the per-head rate above the confirmed count, and by when must that count be confirmed? What is the hourly figure if the hall runs late? You are not negotiating the total down; you are making sure it cannot move without you agreeing first.

One is specific to Kerala halls. Several publish a per-plate rate rather than a rental — Ananthapuri Auditorium ₹400 a plate veg, KRK in Palakkad ₹300 veg — so hall and food arrive as one number. Confirm in writing whether the hall charge sits inside that plate rate or beside it; that sentence moves a 300-guest total by more than a lakh.

Is a single-function day how families keep it under ₹6 lakh?

A single function is the mechanism, yes — it is the only decision on the sheet that removes a whole food service and a whole decor build at once. Everything else trims; this one deletes.

Look again at the arithmetic. At 300 guests, one sadya service is ₹1.2–2.4 lakh; add a reception dinner the evening before and the food line doubles, and the mandapam at ₹50,000–1.5 lakh becomes a mandapam plus a reception stage at ₹50,000–2 lakh. A one-function day is not an austerity measure. It is the structural choice that keeps the ₹6 lakh conversation possible at all.

On rented jewellery we have no rate on record and will not invent one. What the record shows is the weight of the line: in one publicly reported 2015 Kerala wedding totalling about ₹5 lakh, jewellery was ₹2.2 lakh of it — more than the food and event together at ₹1.6 lakh — with outfits at ₹60,000. Where jewellery is counted inside the budget rather than outside it, it is usually the largest single line in the wedding.

Which Kerala auditoriums and mandapams sit at this band?

When does a resort become possible instead?

When the guest list falls rather than rises — and not at this budget. A mid-range backwater resort for 100 guests over two days is ₹45–80 lakh, because rooms and a food-and-beverage minimum arrive attached to the venue.

This is the counter-intuitive shape of Kerala: a 400-guest auditorium wedding can cost a fraction of a 50-guest backwater one, because at a hall you buy a room and a meal, and at a resort you buy inventory. How does a family living abroad fund and approve a wedding at this band?

By fixing the currency conversation once, at the top, and then keeping every subsequent number in rupees. Venue and caterer contracts in Kerala are written in rupees; converting each quote separately is how families lose track of the total.
