The Six Challenges of Planning
an Indian Wedding from Abroad

Most wedding planners don't fully understand what NRI couples face. We do — because we've solved these problems for 300+ families.

01

Different Time Zones

When it's 10am in Bangalore, it's 9:30pm in San Francisco. Vendor calls, emergency decisions, and family updates have to fit around your work life, not just ours. Our team spans IST, GMT, and EST — someone is always reachable.

02

Two Families in Two Countries

Your parents are in Bangalore. Their parents are in London. Both have opinions, both have expectations, and both feel they can't be heard from 5,000 miles away. Family coordination is one of our most critical services.

03

Can't Visit the Venue in Person

How do you commit to a venue you've never stood in? We conduct live video walkthroughs — walking every space, pointing out lighting conditions at different times of day, and answering every question in real time. Over 100 couples have booked venues this way with full confidence.

04

International Guest Logistics

Your guests are flying in from 8 countries. Flights, visas, accommodation, transfers, local SIMs, emergency contacts — coordinating an international guest list requires an operations team, not just a wedding planner. We handle it.

05

Budget in Multiple Currencies

You're thinking in dollars or pounds. Vendors quote in rupees. And the exchange rate changes between deposit and final payment. We quote in your preferred currency, provide fixed-scope estimates, and absorb minor currency fluctuations — you're never caught out.

06

Cultural Authenticity

You want a wedding that feels genuinely Indian — not a Western event with a few marigolds. But you also don't want something your international friends won't understand or connect with. We design celebrations that honour cultural roots and speak to a global audience.

Our Approach

How Panigrahana
Solves Every One

Every solution below is live practice, tested across 300+ NRI weddings. Not a promise — a system.

Dedicated NRI Planning Team

Every NRI wedding is assigned a senior producer whose primary role is remote client management. They have planned 20+ NRI weddings, understand cultural expectations, and are available across multiple time zones throughout your planning journey.

Virtual Venue Tours via Video

We conduct live walkthroughs of every shortlisted venue via WhatsApp or Zoom — walking every ceremony space, lawn, and ballroom. We assess natural light, highlight constraints, and show you the view at sunset. You see exactly what your guests will see.

WhatsApp + Email Coordination

All communication flows through a structured WhatsApp group (couple + planning team) and a shared Google document. No emails lost in folders. No decisions made without documentation. You always know exactly where your wedding stands.

24-Hour Response Commitment

Every message to your lead planner receives a substantive response within 24 hours, regardless of time zones or Indian holidays. For urgent decisions, we respond within 2 hours. This commitment is written into our agreement.

Expert Family Coordination

We establish a separate communication structure for each family — keeping both informed, ensuring both feel heard, and mediating any differences with the tact that comes from 300+ NRI weddings of experience. You don't manage families. We do.

Multi-Currency Budgeting

We provide complete budget transparency in your preferred currency. Line-item breakdowns, no hidden vendor markups, no surprises at settlement. Every invoice is explained before it's sent.

Real Couples

Four NRI Weddings.
Four Stories.

Every NRI couple faces a different set of constraints and aspirations. Here are four real planning journeys — condensed into a few lines, but each one representing a year of trust.

Rahul & Meghna
The Leela Palace, Bangalore · From Melbourne, Australia

"We hadn't been to India in two years and were planning a 350-guest wedding at The Leela Palace from Melbourne. Panigrahana handled every meeting, every decision, every family call. We flew in 10 days before the wedding and found everything exactly as we'd imagined it — often better. The mandap alone made us cry when we first saw it."

→ Bangalore Wedding · 350 Guests · 3 Days
Aakash & Priya
Taj Exotica Resort, Benaulim, Goa · From Singapore

"Our families are in different cities and we're based in Singapore. The three-way coordination could have been a disaster. Instead, Panigrahana kept everyone informed, kept us sane, and delivered a beach wedding on the Taj Exotica lawn that looked like a magazine editorial. Guests are still talking about it two years later."

→ Goa Wedding · 200 Guests · 4 Days
Rohan & Kavya
BVLGARI Resort, Uluwatu, Bali · From London

"We wanted something that felt Indian but looked like nowhere in India — and we found it at BVLGARI Bali with Panigrahana. The Hindu ceremony on the clifftop at sunset, with marigolds and white orchids against the Indian Ocean — there's no photograph that does it justice. Our 60 guests flew in from 9 countries. Every single one said it was the best wedding they'd ever attended."

→ Bali Wedding · 60 Guests · 2 Days
Nikhil & Divya
Taj Bekal Resort & Spa, Kerala · From Dubai

"We wanted a traditional Kerala wedding with all the rituals — Chenda Melam, Sadya, Kasavu, the whole ceremony — but at a venue that looked extraordinary. Taj Bekal was exactly that. Panigrahana understood both the traditional requirements and the visual ambition, and produced something that honoured our culture and our aesthetic in equal measure."

How It Works

The NRI Planning Process —
Eight Steps

From first contact to final sendoff. This is how every Panigrahana NRI wedding is built.

01

Discovery Call

A 45-minute video call with your lead planner. We learn about your vision, family dynamic, guest count, preferred destination, and timeline. We ask the questions most planners never ask. You leave with absolute clarity on whether Panigrahana is right for you.

02

Design Brief

A 20-page document covering your aesthetic direction, cultural traditions to be honoured, guest experience priorities, and budget allocation. This becomes the north star for every decision we make on your behalf for the next 12 months.

03

Virtual Venue Tour

We shortlist 3–5 venues, conduct video walkthroughs of each, present a comparison document, and guide your decision. You commit to a venue with complete confidence — because you've seen everything, heard everything, and asked everything.

04

Vendor Selection

We curate and present a shortlist of vendors for every category — caterer, photographer, entertainment, florals, lighting — each with portfolio evidence and reference contacts from previous NRI clients. You approve every vendor before they're booked.

05

Family Coordination

We establish communication structures with both families, hold family consultation calls, manage expectations, and ensure every family member's key priorities are understood and respected. You don't mediate family differences — we do.

06

Design Finalisation

Mood boards, 3D mandap renders, floral references, lighting plans, and table designs — all presented in a final design presentation. This is your wedding, visualised before anything is built. Changes are made here, not on the day.

07

Pre-Wedding Visit (Optional)

Most NRI couples choose to visit once — 3–4 months before the wedding. In 2 days, we cover: decor mock-up review, catering tasting, key vendor meetings, venue walkthrough, and the final family gathering dinner. Everything is pre-arranged to the minute.

08

Your Wedding Day

Our 30-person team is on the ground before dawn. Every vendor, every timeline, every detail is managed by us. You arrive to find everything ready. Your only job is to be present. The rest is ours.

Frequently Asked

NRI Wedding Planning
Questions Answered

How do I plan an Indian wedding from the USA?
+
Planning an Indian wedding from the USA is fully achievable with the right planning partner. Panigrahana handles everything remotely — venue shortlisting, virtual tours, vendor selection, decor direction, family coordination, and on-ground management. You stay involved via WhatsApp, video calls, and structured briefing documents. Most USA-based couples visit India once, 3–4 months before the wedding, for a focused site visit.
Can I book a venue without visiting India?
+
Yes. Panigrahana conducts live video walkthroughs of every shortlisted venue — walking through the spaces, reviewing layouts, checking lighting, and answering questions in real time. Over 100 of our NRI couples have committed to venues they had never physically entered, and every one has said the venue exceeded expectations on the day.
How do you handle family coordination across countries?
+
Multi-country family coordination is one of Panigrahana's core specialisms. We establish a clear communication structure — separate WhatsApp groups for the couple, each family, and joint updates. We manage expectations, mediate differing preferences with tact, and ensure both families feel heard and represented in the final celebration.
What does remote wedding planning look like in practice?
+
Remote planning with Panigrahana works via a structured monthly cadence: a video call with your lead planner, a written update of decisions made and next steps, a shared planning document updated in real time, and WhatsApp for anything time-sensitive. Every communication is personal and tailored to your wedding — not automated or generic.
What deposit and payment structure do you use for international clients?
+
Panigrahana uses a three-stage payment structure: a booking retainer (20%) to confirm your date, a production advance (50%) at design finalisation, and the balance (30%) due 14 days before your wedding. We invoice in your preferred currency — INR, USD, GBP, SGD, or AED — and provide complete transparency on how funds are used.
What happens if I can't attend a vendor meeting?
+
For every vendor meeting you cannot attend, Panigrahana prepares a written brief of what was discussed, what was agreed, and any decisions requiring your input. For key presentations (caterer tastings, decor mock-ups, photographer portfolio reviews), we always schedule these as video calls so you can participate in real time. Nothing is finalised without your explicit approval.
Can you plan my wedding in 6 months?
+
Yes, for most destinations and wedding scales. 6 months is tight but achievable for Goa, Bangalore, and Kerala weddings of up to 300 guests, if venue availability allows. For larger weddings, international destinations like Bali or Europe, or peak-season dates at top venues, we recommend at least 10–12 months. Contact us for an honest assessment for your specific situation.
What is the best destination for an NRI Indian wedding?
+
It depends on your priorities. Goa is best for large, festive multi-day celebrations with international guests who want a beach holiday alongside the wedding. Bangalore is ideal for NRI families with Bangalore roots wanting a grand city celebration. Kerala suits couples who want intimacy, cultural depth, and dramatic natural beauty. Bali is best for internationally-minded couples who want a truly global celebration.
