What your proposal covers
Planning is quoted for the agreed scope. In-house design and decor are quoted separately for their scope and production. Zero vendor commission does not mean in-house services are supplied without margin.
The agreed written proposal specifies payment amounts, due dates and delivery or approval milestones. No universal percentage split is promised.

Plan a call across time zones
Choose a proposed time in your own zone. The result shows the date and time in India too. This checks the clocks; it does not book availability.
Keep the contract in INR
Use a rate from your payment provider to view an approximate home-currency amount. Include its timestamp and direction. Nothing here fetches a live rate or includes transfer fees.
Planning, decor and responsibility
Do we need full planning, decor, or both for our India wedding?
Planning covers coordination tasks agreed in your contract; decor covers the design and production you commission. Choose planning if you need help organising suppliers and the event, decor if you need a designed setting, or both when you need the two coordinated. Ask for separate scope and pricing.
What does a venue's wedding coordinator cover?
A venue coordinator's responsibilities depend on the venue agreement. Ask who manages rooms, catering, access and venue staff, then identify who handles external suppliers, family decisions, transport and the event schedule. Do not assume either team covers an unassigned task.
Can we hire Panigrahana for decor after booking our own venue?
Yes, Panigrahana offers design and decor as a service. Share the booked venue, spaces, date, event schedule and references. Venue restrictions, installation access and the intended design must be checked before the studio confirms a production scope and quote.
What remains our responsibility with a full-service planning contract?
You still need to approve the budget, scope, guest information and personal choices. Decide who can authorise changes and provide family or ceremony requirements. A planning contract should name the team's responsibilities and the decisions that remain with you.
Are RSVP, rooming, airport transfers and hospitality included?
These are distinct services. Ask the proposal to specify RSVP collection, room allocation, transfer scheduling, welcome desks and support hours individually. Include guest counts, deadlines, languages and escalation responsibility so an omitted task does not become an assumption.
Who coordinates artists, ritual requirements and other vendors?
List each supplier and ceremony requirement with an owner, arrival time and contact. Confirm who books and pays artists, who communicates ritual requirements and who resolves schedule conflicts. The couple or family should approve the ceremony requirements with the relevant officiant.
What is the difference between a design fee and decor production cost?
A design fee pays for the agreed design work. Production pricing covers the specified materials, fabrication or hire, labour and installation. Request inclusions for each, including revisions, transport, lighting and dismantling, so the same item is not charged or assumed twice.
Can a single team manage celebrations at two different venues?
Ask for a venue-by-venue staffing and movement plan. Shared equipment, travel time, loading access and overlapping functions can require separate crews. Confirm feasibility and the additional scope before treating a second venue as a simple extension of the first.
Planning across countries and time zones
How do we schedule planning calls from the US East or West Coast?
Choose the actual IANA zone, such as America/New_York or America/Los_Angeles, and the proposed date. The call tool shows that date in your selected zone and India, including midnight changes. Recheck recurring calls when either participant's clock rules change.
How does UK daylight saving affect our regular India planning call?
Use Europe/London with the proposed date instead of a fixed GMT label. The offset from India changes when the UK changes clocks. Confirm each scheduled date and share both local dates and times, particularly around the clock-change weekends.
How should Canadian couples use a limited India planning visit?
Choose visit dates, a short venue list and the decisions that need your presence. Confirm appointments before travel and use the remaining work for remote review. Your Canadian city matters for call scheduling; it does not determine your wedding preferences or budget.
How do we choose call windows across different Australian states?
Choose the actual city zone, such as Australia/Sydney, Australia/Perth or Australia/Adelaide. Their offsets and clock-change rules differ. Enter the intended date in the call tool and compare it with Asia/Kolkata rather than using one label for Australia.
Can UAE-based couples organize a useful long-weekend planning visit?
A short visit can work for a focused shortlist when travel and appointments leave enough time. Confirm venue access, sample readiness and the decisions you can make before booking. Use Asia/Dubai for proposed calls if that is your selected local zone.
How do Singapore-based couples involve relatives in the US and India?
Choose each participant's actual time zone and the date, then circulate the resulting times. Agree who needs to attend each decision rather than requiring every relative on every call. Written decisions can be reviewed asynchronously by family members who cannot attend.
How do we budget in our home currency while contracts remain in INR?
Keep the supplier's INR obligation as the contract value. Enter a rate from your provider with its direction and timestamp for a home-currency estimate. Track transfer fees separately and refresh the rate before payment; the calculator does not fetch or guarantee a market rate.
How do we plan an Indian wedding when one partner or family is unfamiliar with the rituals?
Ask both families which rituals they want, what each involves and who can explain them. Prepare a readable schedule and discuss participation, language and dress without assumptions. The couple and relevant officiants should approve ceremony choices, with the planner coordinating the agreed arrangements.
Choose the destination through the guest plan
Compare Bangalore, Goa and Kerala using the same dates, functions and guest list. Separate local attendees from people staying overnight. Check how guests reach the chosen property, how many room nights they need and which spaces can support your ceremony and indoor alternative.
For an international celebration, add entry requirements, flight connections and the destination team’s responsibilities to the brief. Verify traveller-specific requirements through official sources; a venue booking does not settle them.

Keep the brief, approvals and showflow connected
Your brief explains what matters to you. The design review translates it into layouts, materials and included production work. The event showflow puts the agreed functions, people and supplier timings in order. Review these as connected documents rather than separate messages.
Name the people who approve design and budget changes. Ask the planner how final versions reach the venue, production team and suppliers, particularly when the couple is flying or attending a ceremony.
