When you submit an enquiry through our website, we collect the following personal information via our contact and enquiry forms:
- Full name
- Email address
- Phone number
- Preferred wedding date or date range
- Estimated guest count
- Preferred wedding destination or venue
- Any additional details you choose to share in the message field
This information is submitted voluntarily by you through forms powered by Formspree, a third-party form processing service. We do not collect information passively beyond what is described in the Cookies section below.
We do not require you to create an account or provide any information beyond what is needed to respond to your enquiry.
2. How We Use Your Information
The personal information you provide is used solely for the following purposes:
- Responding to your enquiry: We use your name, email, and phone number to contact you regarding your wedding planning enquiry
- Planning consultations: Your wedding date, guest count, and venue preferences help us prepare relevant venue options and service proposals before our first conversation
- Sending relevant updates: If you have engaged with us, we may share information about venue availability, seasonal offers, or planning resources that are directly relevant to your wedding. You may opt out of such communications at any time
We do not sell, rent, or share your personal data with third parties for their marketing purposes. Vendor partners receive only the minimum information necessary to deliver your event (e.g., guest counts, dietary requirements, event date), and only after you have engaged our services.
3. Third-Party Services
Our website uses the following third-party services that may process data on our behalf:
- Formspree — Processes enquiry form submissions. Your form data is transmitted to Formspree's servers and forwarded to our email. Formspree's privacy policy governs their handling of this data. Formspree Privacy Policy
- Google Analytics (Measurement ID: G-N3S3GSP2YZ) — Collects anonymised usage data to help us understand how visitors interact with our website, including pages visited, time on site, and referral sources. No personally identifiable information is collected through Analytics
- Cloudinary — Hosts and delivers optimised images displayed on our website. Cloudinary may log standard server request data (IP address, browser type) as part of content delivery
- Google Fonts — Serves the typefaces used on our website. Google may collect your IP address when fonts are loaded. Google Privacy Policy
- WhatsApp (Meta) — We offer WhatsApp as a communication channel. When you message us via WhatsApp, Meta's privacy policy applies to that communication. WhatsApp Privacy Policy
We select third-party services that maintain reasonable data protection standards, but we are not responsible for their independent data practices. We encourage you to review their respective privacy policies.
4. Cookies
We use analytics and advertising tools to understand visits, improve the enquiry journey and measure campaigns:
- Google Analytics cookies (_ga, _ga_N3S3GSP2YZ) — These cookies help us measure visitor traffic and understand which pages are most useful. They use browser identifiers and usage events; these are not anonymous in every context. Cookie lifetimes depend on the tool and your browser settings
Google Ads and the Meta pixel measure advertising interactions and conversions. These services can receive browser identifiers and activity on our website. We do not include your enquiry name, phone number or message in our conversion event payloads.
Microsoft Clarity records page interactions for heatmaps and session replay, helping us identify navigation and form problems. It uses cookies and other tracking technologies. Enquiry forms are masked in recordings. Read the Microsoft Privacy Statement for details of Microsoft’s data use.
You may disable cookies through your browser settings at any time. Disabling cookies will not affect your ability to browse our website or submit enquiry forms.
Optional ChatGPT ad measurement
If you arrive through our ChatGPT ads, we offer an optional measurement choice on enquiry forms. It is unchecked by default. Declining does not affect your enquiry. We load the OpenAI advertising pixel only after you opt in, and count an enquiry only after our website confirms delivery. A WhatsApp click is not counted as a submitted enquiry.
When enabled, OpenAI can receive browser and advertising identifiers, page activity and a lead-created event. Its automatic advanced matching may detect supported contact information and securely hash it in your browser before transmission. Hashing does not make information anonymous. We do not put your message or contact values in our own conversion event payload. OpenAI's attribution cookies include __oppref (up to 30 days) and __obref (up to 365 days). Your choice is remembered for this browser tab's session. Uncheck the option below to stop future ChatGPT measurement; you can also remove existing cookies through browser settings. We respect Global Privacy Control and Do Not Track for this integration. This choice controls ChatGPT measurement, separately from the other services described above.
Wedding questions and our AI guide
Our wedding chat searches published Panigrahana pages. When AI selection is available, your question, a short recent conversation context and relevant public website passages are processed through our hosting provider, Netlify, and Anthropic’s API to select source passages. Our server supplies the displayed website excerpts and source links. The guide cannot confirm live availability or issue a final quote.
Please do not put personal, payment or sensitive details into chat questions. Conversation text stays in the current page’s memory and is not saved by our chat feature to browser storage or to the enquiry system. Our chat code does not log question text; hosting and AI providers may retain service records under their own policies. Read Anthropic’s privacy policy.
Choosing to speak with our team opens a separate form. You can review and edit the brief before submitting your name, WhatsApp number and consent through our enquiry service. Chatting alone does not create an enquiry. The browser may store a one-way digest and an opaque request reference to prevent duplicate enquiries on retry; this contains no readable conversation or contact fields. Chat analytics record actions such as opening the guide or requesting contact, not your questions or contact values. The widget is marked for masking in session recordings.
Wedding planning tools and private family links
Your planning brief, comparisons, family notes and change records are saved in this browser using local storage. They do not automatically sync with a client account. Use the tools’ clear controls or clear browser site data to remove local records. Exported files remain wherever you save or share them.
Creating a private family link uploads an encrypted, read-only snapshot to Netlify storage. The decryption key is carried in the link fragment. Anyone with the complete link can read the snapshot, so share it only with intended recipients. Enquiry contact fields are excluded; names or personal details you type into planning notes may be included.
Shared links stop working after seven days. Revoking a link deletes its stored snapshot; an expired snapshot is deleted when accessed. Expiry alone does not guarantee immediate removal from storage. Copies already downloaded or saved by recipients cannot be revoked. The shared viewing page does not load our analytics scripts.
Submitting an enquiry sends the details shown in the form to Panigrahana through our existing enquiry service. Permission to share your enquiry with shortlisted venues is a separate, optional checkbox.
5. Data Retention
We retain enquiry data (name, contact details, wedding preferences) for a maximum of 24 months from the date of submission, unless you become a client, in which case data is retained for the duration of the engagement and a reasonable period thereafter for business records.
After 24 months, enquiry data from non-clients is securely deleted from our systems. Data held by third-party processors (Formspree, Google Analytics) is subject to their respective retention policies.
You may request deletion of your data at any time by contacting us at info@panigrahana.com. We will process deletion requests within 30 days.
6. Your Rights
In accordance with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable data protection principles, you have the following rights regarding your personal data:
- Right to Access: You may request a summary of the personal data we hold about you
- Right to Rectification: You may request correction of any inaccurate or incomplete personal data
- Right to Erasure: You may request deletion of your personal data, subject to any legal obligations that require us to retain certain records
- Right to Data Portability: You may request your personal data in a structured, commonly used format
- Right to Withdraw Consent: You may withdraw your consent to being contacted at any time by notifying us via email or WhatsApp
- Right to Grievance Redressal: If you are dissatisfied with our response to a data-related request, you may escalate your concern to the Data Protection Board of India as established under the DPDP Act

7. Children's Privacy
Our website and services are not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have inadvertently collected data from a person under 18, we will promptly delete that information.

8. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, third-party services, or applicable law. When we make changes, we will update the "Last updated" date at the top of this page.

For material changes that significantly affect how we handle your data, we will make reasonable efforts to notify affected individuals directly.
