What should we check before hiring a wedding planner in Kerala?
Hiring, fees, venues and the paperwork
Check five things before you sign anything: the scope written out function by function, a GST invoice raised in the planning company’s registered legal name, the name of the person who will be standing in Kerala on your wedding days, whether vendor contracts sit in your name or the planner’s, and where design approvals are recorded. Almost every dispute we hear about traces back to one of those five being left vague.
Take them in order. Scope means a document listing every function — the nischayam, the mehendi or eve-of ceremony, the wedding morning, the reception — and saying against each what the planner delivers and what is bought from somebody else. A planner who will not write that down before a deposit will not write it down after one. The invoice matters because a Kerala wedding is often paid for from three countries at once, and a family remitting from Dubai or New Jersey needs an invoice in a registered company name to satisfy their own bank; ours are raised by Wedvitez Planners Private Limited, the legal entity behind Panigrahana Weddings.
Who is on site is the question couples forget. Ask for a name, and ask when that person lands in Kerala — not the city they are based in, the date they arrive. We run an in-house team and build the decor with our own production crew rather than subletting it, which is why we can answer that with a name months ahead. Vendor contracts decide who controls your money: we take zero vendor commission and you pay every vendor directly, so the catering, photography and entertainment agreements are yours, in your name, at prices you can see. The approval log is where a remote wedding either holds or drifts — every drawing, revision and sign-off belongs in one written place, which is what our couple portal is for. How many weddings have you planned for families living abroad, and how does remote planning actually run?
Approximately 300 of our weddings have been planned for couples living abroad, out of 500-plus weddings in 12 countries since 2018. That number is for the studio as a whole across Bangalore, Goa and Kerala — we do not hold a separate Kerala-only count and will not invent one. Remote planning runs on scheduled video calls, one point of contact per family and a written approval log.
The rhythm is deliberately boring, because boring is what survives an eight-and-a-half-hour time difference: a fixed call slot at an hour that works in your city rather than ours, venue shortlisting on live video walkthroughs with the camera taken to what photographs never show — how far the ceremony lawn is from the rooms your elderly guests will be in, what the space looks like at the hour your muhurtham falls — and decor issued as drawings for approval before anything is built, with the revision history kept in the portal.
One point of contact per family is the part couples underrate. A Kerala wedding has a bride’s side, a groom’s side and at least one parent in India doing the running about; if all three talk to three different people at the studio, you get three versions of the plan. A 300-guest wedding in Kerala planned from London or Dubai — who do we talk to first, and what happens in the first two calls?
Talk to the planning studio before you talk to a venue. The first call runs 30 to 40 minutes and settles the month, the guest count, the functions and which airport your guests fly into. The second returns a shortlist of properties that genuinely hold 300, the room arithmetic underneath it, and a written scope you can price.
Calling venues first feels efficient and usually is not. A sales desk quotes a banquet package against a guest number, which tells you nothing about whether 300 people arriving from three countries can sleep, eat and reach a ceremony on the same site — and four such quotes are never comparable, because each includes a different set of things. Starting with the scope means they come back in the same shape.
Call one: the wedding month, whether the date is fixed by a muhurtham or still open, how the 300 splits between guests travelling from abroad and guests within Kerala, how many nights you want people on site, and which functions are non-negotiable for the elders. We also ask which airport you are flying into — Kochi, Trivandrum, Kannur or Kozhikode — because that decides the northern or southern half of the state more than any photograph will. Call two: three to five venues that fit, each with its ceremony space, room count and the overflow hotel it would need, plus the scope document. How do your planning fees work, and do you take commission from vendors?
Our planning starts at ₹2 lakh per day for two events + GST, the final fee is quoted for the agreed scope, and we take zero vendor commission — you pay every vendor directly at their own price. We do not publish a fee band beyond that starting price, because a two-day 120-guest backwater wedding and a 500-guest Kochi reception are not the same piece of work and a band would mislead you on both.
In practice we write down the functions, the days on site, the design workload and the hospitality load, and quote against that document. If the scope changes — a second reception in Kochi for the local guest list, an extra day because an uncle’s flight only lands on the Thursday — the quote is revised in writing before the work starts. Venue, hospitality, catering and vendor costs sit entirely outside that fee and are billed to you by the vendors themselves.
The zero-commission part changes the shortlist more than the arithmetic. A planner earning a percentage from a venue has a reason to prefer one property over another that has nothing to do with your wedding, and you will never see it in the quote. Because we earn nothing from the properties, a hall in Thrissur and a five-star on Willingdon Island are equally attractive to us, and the recommendation is only about which suits your guest list.
Which Kerala venues do you work with for 100, 300 and 500 guests?
For 100 guests we usually shortlist heritage and backwater properties such as Taj Kumarakom, Brunton Boatyard or Windermere Estate in Munnar; for 300, resorts like Taj Bekal, Taj Malabar or the Casino Hotel; for 500, the large Kochi and Thiruvananthapuram hotels. Rooms on site, not banquet seating, is almost always the binding constraint.

Read the last column before the fourth. A 300-guest wedding where 180 people fly in needs roughly 90 to 120 rooms across two or three nights, so Taj Bekal’s 60 and Taj Malabar’s 93 mean a second property and a coach schedule — a good plan, as long as it is decided in advance rather than discovered in October. The large Kochi hotels are the opposite case, holding the guest list and the room block on one site, which is why a 500-guest wedding with a heavy overseas contingent so often lands in Kochi.
Capacity figures are listings, not promises — each is a banquet-layout number, and a mandap, buffet line, stage and dance floor take a bite out of it, so we check the usable figure against your function plan before a shortlist goes out. Can you plan a Kerala Christian church wedding and reception, and a temple wedding?
Yes to both, and they are planned differently. A church wedding is built around the parish’s own calendar, banns and pre-marriage course, with the reception treated as a separate production; a temple wedding is built around the muhurtham your family’s astrologer sets and whatever that particular temple’s administration permits on the day.
For a Christian wedding the parish sets the constraints and everything else bends around them: the date the church will give you, the pre-marriage course, the readings and music the priest will allow, and how long you have the building. Open that conversation with the parish first — it is usually the longest lead time in the whole wedding, and a Kochi or Thrissur reception can be designed to any date once the church date is fixed. The denominational detail (Syro-Malabar, Syrian Orthodox and Jacobite, Knanaya, Latin Catholic, CSI and Mar Thoma practice all differ) is on our Kerala Christian wedding guide.
For a temple wedding we deliberately publish nothing about the rules of any individual temple, Guruvayur included. Permissions, timings and entry conditions are set by each temple’s own administration, are not uniform across Kerala and do change; anything printed here would be stale by the time you read it. Ask the temple office directly, in writing, and get the slot in writing too. We then plan the day around that slot — arrival, muhurtham, the sadya afterwards and the reception that evening. How does a Kerala wedding planned from the Gulf differ from one planned from the US or UK?
The flight length changes the whole shape of it. From Dubai, Doha or Riyadh a parent can come over for a venue visit and be back at work on Monday, so the big decisions get made in person. From the US or UK the same decisions are made on video — and the paperwork route afterwards is different, because India is a party to the Apostille Convention and the UAE is not.
A Gulf-based family plans in more, shorter passes: one video call to set the scope, then a two-day visit in which the same family sees three properties, tastes the food and meets the priest or the temple office, then more video calls to close the design. Families in the US, the UK, Canada, Australia or Singapore compress the same work into one longer trip, usually six to eight months out, and we front-load the walkthroughs so that trip is spent confirming rather than searching. The planning itself is identical.
On money: we quote in rupees and every vendor invoices in rupees, so a family budgeting in dirhams, pounds or dollars should fix the rupee number first and convert at the rate on the day they remit. On paperwork the split is clean. India acceded to the Hague Apostille Convention in October 2004, in force here since July 2005, and the United States, United Kingdom, Australia and Singapore are all parties — so an Indian marriage certificate can be apostilled for use there, with Canada joining in January 2024. The United Arab Emirates is not a party, which is why a certificate taken to Dubai or Abu Dhabi goes down the embassy attestation route instead. We publish no timelines or fees for either chain because we have not verified them; check the current position with the relevant consulate, and read registering a marriage in India when you live overseas.

Kerala destination weddings introduce operational challenges that planners without on-ground experience routinely underestimate. Guest transportation is the most consistent one. The key Kerala venues — Taj Bekal, Niraamaya, Kumarakom Lake Resort — are not easily accessible from the nearest airport, and some require water transport for the final leg. Coordinating the arrival of 120 guests from Calicut or Trivandrum Airport, managing the houseboat transfers, and ensuring the elderly relatives in the family reach the ceremony location without a logistics crisis requires very specific local knowledge.
The second challenge is ceremony timing. Kerala's natural light window — when the backwaters and the coastal setting produce the photography that couples are imagining when they book these venues — is typically a two-to-three hour period between 4pm and 7pm. A ceremony that starts late loses that window permanently. We're budgeting the sadhya by the leaf — how does Kerala wedding catering pricing actually work?
Two different systems, and mixing them up is how estimates go wrong. Traditional caterers price the sadhya per ila — per banana leaf served — and the rate moves with the district, the number of payasams and the depth of the menu. Resorts price per plate instead: Kerala resort wedding catering runs ₹4,000–7,500 per plate, with service, infrastructure and licences folded in. Neither is "correct"; they are different products. If you go the auditorium-and-caterer route, read the package line by line — cleaning, food-waste disposal and generator hours are the items families most often discover as extras on the final bill. Whatever is promised verbally, get it in writing.
Most of our guests are local — 400 to 700 people at an auditorium or church hall. Does that change the plan?
That is the classic Kerala wedding, and the maths behaves differently from a destination event: the cost driver is the leaf count, not the venue. Ask who will deliver your wedding, what the planning fee covers, who receives supplier payments and whether recommendations involve commissions or other commercial relationships. Compare written scopes and ask for relevant completed work, with permission to speak to a past couple where possible.
Separate the venue's responsibilities from the planner's and each supplier's. Ask who resolves a missed handoff, who can approve additional spending, and how you will be told about delays. A portfolio shows completed work; use a scope, a named delivery lead and an example progress record to understand how your own wedding would be managed. Record the agreed terms before payment.
Check the exact event space and a seated layout for your guest count, including the stage, aisles, dining and circulation. Confirm overnight accommodation separately. Published capacity does not establish room availability, accessible routes or a rain arrangement for your wedding.
Ask to follow the guest journey from drop-off through the ceremony, dining, toilets and rooms. Check steps, surfaces, shelter and walking distances for your guests. Obtain the sound timings, supplier restrictions, power provision, setup access and booked spaces in writing. A rain alternative must be available to you and work for the proposed seated layout.
One focused planning visit can cover selected venue inspections and prearranged meetings when the shortlist, budget and appointments are ready before travel.
