Start with the same brief
A useful shortlist begins with your destination, likely guest count, event programme and hosted nights. Give each company the same information. Otherwise, one proposal may cover a ceremony while another covers guest arrivals, a welcome dinner, the wedding and departure coordination. Their totals will not be directly comparable.
- Venue and dates: name the properties being considered and say whether anything is booked.
- Guests and rooms: separate invited guests, expected attendees and people whose accommodation you will pay for.
- Functions: state which events need planning, decor and on-site management.
- Design: share a few references and ask how they will adapt to the actual venue.
- Decision process: identify who approves design, spending and changes, particularly when family members live in different countries.
Choose the destination before comparing a headline price
Goa

Kerala

Rajasthan and other Indian destinations
Palace, heritage and other destination properties remain useful options to research. Ask the property about event permissions, load-in access, production restrictions and the spaces included in your booking. Ask a prospective planner for relevant work at that destination and the proposed on-site team. Build a budget by responsibility
Ask for a written breakdown rather than applying a generic national price range. Record the quantity, unit, tax treatment, inclusions, exclusions and payment milestones for each line. Keep a provision for changes that you approve; its size should follow your event risks rather than an unexplained percentage.
- Venue and food: dates, spaces, meals, guest guarantees and taxes.
- Rooms: room categories, number of nights, hosted guests and extra-night responsibility.
- Planning: covered functions, responsibilities, staffing and on-site hours.
- Decor and production: approved drawings, floral choices, built elements, labour, installation and removal.
- Other suppliers: photography, entertainment, technical equipment, transport and agreed guest services.
Check how the wedding will run
Ask who will attend the venue walkthrough, approve a drawing, coordinate suppliers and lead each function. Request a comparable completed project and clarify what the company actually delivered. Photographs alone may not tell you whether it planned the event, designed the decor or supplied one element.
Confirm a workable rain plan, access timings and a change-approval process before committing to a design. If you cannot visit in person, arrange a live walkthrough with measurements and an agreed record of unresolved questions. Availability and booking lead times need direct confirmation for your dates.
