The Destination Wedding Planning Timeline
Planning a destination wedding is a fundamentally different exercise from planning a local wedding. The geography adds layers of complexity that can overwhelm even the most organised couples. This checklist has been developed over 500+ weddings at Panigrahana and covers everything you need — organised by timeline.
18–24 Months Before Your Wedding
- Set your destination shortlist (3–4 locations) based on: dream setting, budget, family travel ease, and time of year
- Determine your approximate guest count (this drives venue selection more than anything else)
- Set a realistic total budget including: venue, catering, decor, accommodation, travel, and planning fees
- Research and shortlist wedding planners — choose one with proven experience in your specific destination
- Engage your wedding planner and begin venue site visits
- Sign venue contract and pay deposit — do not delay this step. Peak-season dates at top venues go 18+ months in advance
12–18 Months Before
- Finalise the full event calendar (mehendi, haldi, sangeet, ceremony, reception dates and times)
- Book all key vendors: caterer, photographer, videographer, makeup artist, entertainment
- If international: begin visa and documentation research for your destination country
- Create your guest list and begin informal communication about the destination and travel dates
- Set your decor direction and brief your design team — read our decor guide
- Book accommodation block for guests at or near the venue
6–12 Months Before
- Send formal save-the-dates with destination, dates, and accommodation information
- Confirm all vendor contracts and payment schedules
- Begin shopping for bridal trousseau, jewellery, and lehenga
- Plan welcome hampers and guest gifts
- Arrange travel for outstation family and key guests
- If international: complete all legal documentation for marriage recognition in India and abroad
3–6 Months Before
- Send detailed wedding invitations with guest-specific travel and accommodation information
- Finalise the complete decor design — mandap, mehendi setup, sangeet stage, reception
- Confirm all vendor final details, menus, and run-of-show timelines
- Arrange welcome dinner or arrival event for outstation guests
- Brief family members on their ceremonial roles and timings
1–4 Weeks Before
- Confirm all final vendor call times and access requirements
- Conduct a full venue walk-through with your planner
- Prepare emergency kit (safety pins, stain remover, needle and thread, pain relief)
- Delegate day-of family coordination responsibilities to trusted relatives
- Confirm final guest numbers and communicate to all vendors
Day Before & Wedding Day
- Arrive at venue with planner — complete a full final inspection
- Ensure all vendors have their briefing documents and run-of-show
- On the wedding day itself: eat breakfast, stay hydrated, and trust your team
