The One Decision That Changes Everything
Your wedding planner is not a vendor. They are not someone you hire to execute tasks. They are the person who holds your entire vision — and makes it real. The wrong choice can turn your most important life event into a logistical nightmare. The right choice transforms it into something beyond what you imagined possible.
We know this because couples tell us — often couples who have changed planners mid-engagement after a bad experience elsewhere. The cost of choosing wrong is high. These questions will help you choose right.
10 Questions to Ask a Wedding Planner Before Signing
1. Do you do decor and design in-house, or do you outsource it?
This is the most important question. A planner who outsources all design work is a coordinator, not a creator. If decor is central to your vision, choose a studio that has its own design team and decor production capabilities — like Panigrahana.
2. How many weddings do you take in a year?
Volume matters. A planner who takes 50+ weddings per year cannot give any one couple the attention they deserve. Ask specifically how many weddings will overlap with yours, and who on their team will be dedicated to you.
3. Who specifically will be my point of contact — and who will be on the ground at my wedding?
Many studios have a charismatic founder who sells the project, then hands over to a junior coordinator. You need to know exactly who is responsible for your wedding — before and on the day.
4. Can I speak to three recent couples you have worked with?
Any credible planner will provide references. Speak to at least two recent couples and ask: Was the planner responsive? Did they solve problems calmly? Was the final result what you expected? What would you change?
5. What is your experience with my specific destination?
A planner who has done 5 weddings at Taj Exotica Goa has valuable institutional knowledge about that venue's quirks, the local vendor ecosystem, the logistics of getting 200 guests there smoothly. Local experience saves you time, money and stress.
6. What does your planning fee cover, and what is excluded?
Get a fully itemised scope of work. Some planners include decor production; others quote planning only. Some include vendor sourcing; others charge for every shortlist. Understand exactly what you are paying for.
7. How do you handle problems and emergencies on the wedding day?
Ask for a specific example of a crisis they solved on a wedding day. Every experienced planner has one — a florist who didn't show, a caterer short-staffed, a family member in conflict. How they respond to this question tells you everything about their temperament under pressure.
8. What is your payment schedule and cancellation policy?
Understand the financial terms fully before signing. Specifically: what happens to your deposit if you need to postpone due to illness or a family emergency?
9. How do you balance the couple's vision with family expectations?
Indian weddings involve multiple families with strong opinions. A skilled planner acts as a buffer and diplomat — managing family dynamics with grace while keeping the couple's vision primary.
10. Can I see a detailed portfolio of your design work?
Not just photos — ask to see design process documentation. Mood boards, CAD layouts of venue setups, before/after comparisons. This tells you whether they are true designers or simply decorators.
