Engage Your Wedding Planner Before Anything Else

This is the single most important step. Your planner becomes your boots-on-the-ground representative — attending venue site visits with video call access, negotiating contracts on your behalf, managing local vendor relationships, and acting as your liaison with both families. Without a trusted local team, you are navigating a complex ecosystem blind.

Technology Stack for Remote Planning

• Video calls: All venue tours and vendor meetings should include a live video walkthrough — not just photos
• Shared project management: We use shared documents and project management tools to maintain real-time visibility into every planning thread
• WhatsApp groups: One group per functional area (decor, venue, catering, guest logistics) — with clear communication protocols to prevent chaos

The Visit Schedule

Plan for at least 2–3 trips to India during the planning process:

• Visit 1 (12–18 months before): Venue shortlisting and signing. Ideally 5–7 days including family meetings.

Managing Two Families Across Time Zones

The most common NRI wedding challenge is managing two families with strong opinions, different time zones, and different communication styles.
