Engage Your Wedding Planner Before Anything Else
This is the single most important step. Your planner becomes your boots-on-the-ground representative — attending venue site visits with video call access, negotiating contracts on your behalf, managing local vendor relationships, and acting as your liaison with both families. Without a trusted local team, you are navigating a complex ecosystem blind.
Technology Stack for Remote Planning
- Video calls: All venue tours and vendor meetings should include a live video walkthrough — not just photos
- Shared project management: We use shared documents and project management tools to maintain real-time visibility into every planning thread
- WhatsApp groups: One group per functional area (decor, venue, catering, guest logistics) — with clear communication protocols to prevent chaos
- Time zone discipline: Establish regular weekly call times that work across time zones. Consistency prevents communication gaps.
The Visit Schedule
Plan for at least 2–3 trips to India during the planning process:
- Visit 1 (12–18 months before): Venue shortlisting and signing. Ideally 5–7 days including family meetings.
- Visit 2 (6 months before): Vendor meetings — caterer tasting, decor design review, photography chemistry check.
- Visit 3 (1 week before): Final coordination, venue walkthrough, family arrivals and welcome events.
