Planning an Indian wedding from the USA involves aligning the event in India with the people making decisions abroad. Use your actual time zone and intended call date; US daylight-saving changes can shift the overlap with India.
Use a focused India visit
Separate the wedding trip from any planning visit. Confirm the venue shortlist, appointments and which choices need physical inspection before booking the visit. There is no guarantee that a fixed number of days will settle every decision.
Understand the dollar display
Ask suppliers for their actual contract currency and compare the INR scope before converting. Use a rate with a timestamp and explicit direction, then add the transfer provider’s fees separately. A dollar conversion is not a locked price or a national wedding-cost average.
Let each traveller verify requirements

Compare the journey before choosing the venue
Start with the cities your guests depart from and the dates they can travel. Compare the complete journey to your shortlisted property: flight connections, arrival time, transfer, check-in and the first function. Confirm current schedules directly before making commitments.
Ask guests about leave and school dates early. Keep the arrival day distinct from the ceremony day so the programme reflects actual travel needs. If guests stay in more than one hotel, record each group’s property and arrival details before arranging transfers.
Prepare a focused India visit
Shortlist venues remotely and confirm the purpose of each appointment before travelling. A visit may cover the venue, tasting, materials and supplier meetings, depending on the work you are commissioning. Leave time to travel between appointments and review decisions with family.
If a relative attends a meeting, agree what they can approve and what needs the couple’s decision. Ask for the current layout, material details and unresolved questions in writing. Keep later changes linked to the approved version.
Give guests one reliable set of details
Share the confirmed venue, function dates, accommodation arrangements and the contact for changes. Distinguish host-paid items from costs guests arrange themselves. Update the same guest information when a detail changes instead of circulating conflicting versions.
Ask each traveller to confirm passport, visa or other entry requirements through the responsible authorities. The planning team can coordinate a guest itinerary within its agreed scope, but wedding arrangements do not determine immigration eligibility.
