The first call needs only the date window, the city, a rough guest count, the functions and a budget ceiling. The proposal prices planning and decor separately in rupees; rooms, food, transport and licences are quoted by those suppliers and paid by you directly, and we shortlist, interview and negotiate with them for you.
The planning visit is for what a screen cannot show: the ceremony space at the hour of the ceremony, a tasting and materials in daylight. Between the visit and the wedding, every design is approved from drawings before it is built, and your weekly updates and published meeting notes stay in the portal between calls.

How can we check our wedding planner's updates from another country?
With Panigrahana you can check four things yourself rather than take our word for it: the payment schedule in your portal, itemised by vendor with each amount, its due date and its paid date as recorded by your planning team; published meeting notes and weekly updates; the named people on your wedding; and the date of each approval you give (our process as of 31 October 2026).

How to judge a planner from abroad
These seven checks work on any planner, including us. Ask them before you pay anything and ask for the answers in writing, because from far away a clear record tells you more than a good conversation.

For parents in India doing the running around
If your children live abroad and you are the one in India, the job can quietly grow: visiting vendors, chasing replies, passing messages across time zones. Ask the couple to write your role down before the first deposit, so you know what is yours and what is not.
- Attend the appointments the couple cannot, look at samples and meet suppliers, then report back to one named person.
- Read the plan in the portal. The couple can share the link with you, so you see the same plan at any hour, with nothing to install.
- Send concerns to the planning team. Changes to money or scope go to the one person the couple has named to approve them.

Two trips, and the work between them
Trip one is for what a screen cannot show you: the venues on your shortlist at the hour of your ceremony, a tasting, and materials seen in daylight. Trip two is the wedding. Land early enough that the final walk-through is not your first day in the country.
Between the trips the work runs on your weekly video check-in and in writing: the venue shortlist and contract terms, design drawings and samples, a quote for each supplier, and your approvals recorded with their dates, so nobody has to rely on memory.
Family in India can attend the appointments you cannot, collect samples and meet suppliers. Give each person a written list and name one final approver. Our own teams and warehouses in Bangalore, Goa and Kerala carry the on-site work in the agreed scope, so nobody in the family becomes the unpaid coordinator.
How many trips to India do couples living abroad need for the wedding, and how early should the planning visit happen?
Plan on two trips, one planning visit and the wedding itself, and fix the visit as soon as the venue shortlist exists, because couples marrying in November to February first contacted Panigrahana a median of at least 170 days before the wedding (85 weddings, middle half 122 to 218 days), on booking records re-run 31 October 2026.
Guides that speak of a single trip are counting the planning visit only; the wedding trip comes on top. A planning visit of a week or two covers the venues at the hour of your ceremony, a tasting, fittings and one sit-down with both families.
The 170 days understates the real gap: 13 more weddings in these months reached us before 1 April 2026, where our usable records begin, and they are not counted. With less time than that, keep the visit short, or have a relative walk the shortlist on a live video call with our team.

Prepare a visit around unresolved decisions
Decide what requires your presence, confirm appointments and leave space for travel and review. Give family members a clear way to comment and name the final approvers. The public tools below save local drafts; they do not create confirmed appointments or portal approvals.
Keep legal and travel checks separate
Ask the registrar, relevant mission or receiving authority about your actual circumstances. Do not infer a visa requirement, marriage-recognition rule or apostille requirement from another family’s experience.
People, visits and decisions
Can we plan the wedding if no relative in India can supervise?
It can be planned without a supervising relative if the agreed professional scope covers the necessary on-site work. Assign decision-makers, deadlines and a local project lead. A relative should not become the default unpaid coordinator for tasks left out of a contract.
Which decisions can we make remotely, and which benefit from a visit?
Shortlists, document reviews and design discussions can be prepared remotely. A visit can help with scale, materials, tasting and trials. Decide which unresolved issues require physical inspection, who can attend and whether a representative can report back reliably.
Can we plan everything with just one India trip?
One visit may be workable if the shortlist, appointments and decisions are ready, but it is not a universal promise. Some samples, trials or venue conditions may need another check. Separate the planning visit from the wedding trip and confirm appointments before travel.
What should a three-day versus seven-day planning visit include?
For three days, prioritise decisions that truly need your presence and keep the shortlist small. Seven days may allow more travel, trials and review time. Use the visit workspace to arrange suggested tasks; its calendar is not a confirmation from venues or suppliers.
How do we agree who has final approval on budget, rituals and decor?
Name the final approver for spend, guest count, rituals and design, and define any joint decisions. Record limits and a way to resolve disagreement. Suppliers need one clear authorised instruction when a decision changes, with the previous version retained.
How do we involve parents without routing every message through them?
Give parents an agreed place to review relevant choices, a comment deadline and a contact for questions. Separate their preferences from final approval. Share only the information they need and keep sensitive financial or guest information within the agreed group.
What should a weekly planning update contain?
A useful update lists decisions made, decisions due, outstanding quotations, approved cost changes and upcoming appointments. Include an owner and date for each open item. With Panigrahana, weekly updates and published meeting notes stay in your portal between your weekly video check-ins.
How do we keep one final version of the guest list and design decisions?
Use one dated master version, named editors and a change log. Record who approved design changes and when. The public wedding workspace stores your entries on the current device; it does not automatically synchronise them with the couple portal or other family members.
Build a sequence around the decisions
Start with your preferred dates, destination, guest range and functions. Compare venues against that same brief, including rooms, indoor alternatives and access for installation. Avoid treating a venue photograph as confirmation that it can host your planned ceremony.
Once the venue and responsibilities are agreed, develop the design and supplier scopes. Track the decisions needed to release each piece of work: approved layout, menu, room allocation, transport list and showflow. Attach an owner and a due date to each outstanding item.
Before the celebration, reconcile the final guest and room lists, supplier timings, venue permissions and version of the design being built. Confirm who can approve a change when you are travelling or occupied with a ceremony.
Which decisions need an India visit?
A venue inspection, tasting, outfit fitting or material review may benefit from being in person. Group appointments only after the relevant people confirm availability. Start with a shortlist, leave time between venues and allow an opportunity to compare notes before making commitments.
If you cannot travel, decide which checks a trusted relative or your contracted team can make. Give them a specific checklist and photographs to return. Some choices still need the couple’s approval; delegating a visit should not silently delegate the budget.

What should a family abroad check before booking a venue in India?
Check what photographs cannot show, because at least four venues Panigrahana's founding team visited over the past year were ruled out, mainly for photos that did not match the property, cleanliness or too few staff, on our venue visits recorded 8 October 2026.
We visit a venue before we shortlist it for a family. If you are choosing from abroad, ask for a live video walk-through on an ordinary weekday that shows the washrooms, the kitchens and how many staff are on the floor. Put every venue on the same brief, with your guest count, functions and rooms, so the quotes can be compared. Keep what a screen cannot settle for your planning visit, when you can stand in the ceremony space at the ceremony hour.

Give family a clear role
Choose who gathers each family’s preferences and who has final approval. Keep ceremonial requirements, guest hospitality and design choices separate so everyone can contribute to the questions they understand.
After a call, record the decision, the approved version and anything still unresolved. A relative’s suggestion in a chat should not automatically become a supplier instruction. Use a change record when a later request affects materials, timing or cost.

The studio's hours are 9 am to 9 pm India time, Tuesday to Sunday, which between 1 November 2026 and 13 March 2027 is 3:30 am to 3:30 pm in London, 10:30 pm to 10:30 am in New York and Toronto, 7:30 am to 7:30 pm in Dubai, 11:30 am to 11:30 pm in Singapore and 2:30 pm to 2:30 am in Sydney (hours checked 25 October 2026).
Pick one standing slot and keep it. From New York or Toronto, 7 am to 10:30 am your time is 5:30 pm to 9 pm in India. From San Francisco, 7:30 pm to 10 pm is 9 am to 11:30 am in India the next morning. From London, 8 am to 3:30 pm works, and from Sydney or Melbourne, 2:30 pm to 10 pm.

Common questions
Can we really plan an Indian wedding without living in India?
Yes. Most of the planning happens on a weekly video check-in and in your private couple portal: design presentations with feedback and approvals, published meeting notes, structured decisions and payments in one place. What genuinely needs you in India is a venue shortlist visit and the wedding itself; nearly everything else can be decided remotely when the process is built for it.
How many trips to India do we actually need?
Two is comfortable for most couples: one venue-and-tastings trip around six to nine months out, and the wedding trip itself. A single-trip wedding is possible when the planning system carries everything else remotely — we have produced weddings that way.
How do design approvals work when we are in another timezone?
You approve from renders, not promises. Our studio shares design decks, 3D renders and drawings, before anything is built, you comment and approve in the portal on your own schedule, and the approved deck is what our in-house team then builds. The biggest remote-planning risk is imagining one thing and being handed another, so the approved deck gives you something specific to hold the build against.
What time-zone call windows work when we live abroad?
One weekly video check-in, at a time set for your time zone so neither side takes a call at 2am. From the US East Coast an 8am call is 5:30 to 6:30pm in Bangalore; 1pm in London is 5:30 to 6:30pm; 4pm in Dubai is 5:30pm; 7pm in Sydney is 1:30 to 2:30pm; 8:30pm in Singapore is 6pm. India observes no daylight saving, so the offset moves only when your own clocks do.
Is an Indian marriage certificate valid in the USA?
Yes. A marriage registered under the Hindu Marriage Act or the Special Marriage Act in India is recognised as a valid foreign marriage by US authorities. US agencies will generally ask for an apostille on the Indian certificate, issued through India’s Ministry of External Affairs. We point you to the process and coordinate the on-ground appointments. This is general information rather than legal advice, so confirm the current requirement with the agency that will receive the certificate.
Which airline routes work best for guests flying from the USA to an Indian wedding?
Air India flies nonstop from New York (JFK and Newark), San Francisco, Chicago and Washington to Delhi and Mumbai, the most convenient options for East and West Coast guests. For Goa, Bengaluru or Kochi, guests connect through Delhi or Mumbai on a domestic leg of one to three hours. One-stop options also run via Gulf hubs (Emirates, Etihad, Qatar Airways) and European hubs (Lufthansa, British Airways). Book four to six months ahead for wedding travel in the October to February peak.
Can we plan the whole wedding in one 10 to 14 day India trip?
Yes, and that is how we structure it for most US couples: days 1 to 3 for the venue and tastings, day 4 for decor, days 5 and 6 for outfits, days 7 and 8 for family alignment, days 9 and 10 for sign-off. Everything else happens before and after the trip through the portal. The single-trip version, where you arrive only for the wedding week, is possible too; we have produced weddings that way.
