Marriage event management

Marriage event management in Bangalore — what it actually covers

Marriage event management in Bangalore is the operational half of a wedding: the run sheet, the vendors, the crew on site and the decisions that land at 6am on the morning of the muhurtham. It is quoted by function and by crew day, not by a rate card. This page sets out, function by function, what a management scope covers here, what is quoted separately, and what stays with the family.

Function by function, what management means

A standard South Indian wedding week in Bangalore
FunctionWhat management coversWhere it usually goes wrong
Engagement or nischayVenue liaison, set build, seating, priest timing, photography briefNobody owns the guest list, so catering counts are guessed
HaldiMorning set-up at home or venue, water and flooring protection, guest flowSet-up crew arrives after the family has started
Mehendi and sangeetArtist scheduling, stage and sound, rehearsal window, food service timingSound check clashes with the mehendi queue
MuhurthamPre-dawn set-up, priest and mandap readiness, elders' seating, photography positionsThe set is still being finished when guests arrive
ReceptionChangeover from the morning, stage, entry sequence, gift desk, exitThe changeover window is too short and nobody said so
Strike and settlementDismantle, venue handover, damages walk-through, final countsFamily settles bills in wedding clothes

The changeover between two functions in the same space is the single most common failure point in a Bangalore wedding, and it is an arithmetic problem, not a taste problem. It gets solved in the run sheet weeks earlier or it does not get solved.

Who is actually on site

Ask any management company for names and roles, not a headcount. A studio with thirty people is only useful to you if a named part of those thirty is standing in your venue on the day, and the honest version of that answer is a small table you can hold them to.

The roles a family should be able to name before the week of the wedding

  • The lead who takes decisions on the floor, and their phone number
  • The production lead for the set build, and when the build starts
  • The hospitality point for guests, rooms and transfers
  • The person who owns catering counts against the venue's minimum guarantee
  • The person who makes the rain call at an outdoor venue

Panigrahana runs an in-house team of about thirty people across planning, design and production, and has delivered more than 500 weddings since 2018. The company is Wedvitez Planners Private Limited, incorporated in 2023, CIN U82300KA2023PTC181403.

What the management fee covers and what it does not

Three quotes that are commonly confused with one another
QuoteWhat it isHow it is charged here
Management or planning feeThe studio's own work and crewFlat, for the scope written into the proposal
Design and decorSets, florals, stage, mandap, lightingQuoted separately for its own scope and production
Vendor costsVenue, catering, photography, music, makeupPaid by you directly to each vendor

Zero vendor commission is the reason the third row is a straight pass-through. It does not mean the studio's own design and production are supplied without margin — they are a manufactured product with a crew behind them, and they are quoted as one.

The written proposal sets out payment amounts, due dates and the delivery or approval milestone each payment is tied to. There is no universal percentage split promised in advance, because the milestones differ by scope.

When a family genuinely does not need this

  • One function, under about 100 guests, at a venue that supplies catering and basic decor in house
  • A family with a member who can be off work for the fortnight before and is willing to be the one who says no
  • A wedding where the design ambition is modest and the venue's own team is competent
  • A registrar marriage with a lunch afterwards

We say this because the enquiries that go wrong are the ones where a family buys management for a wedding that did not need it, then resents the fee. If your wedding is in that list, our checklist pages will get you there without us.

Questions couples ask

What is the difference between marriage event management and a wedding planner?

In practice, none — they are two words for the same purchase, and families in Bangalore use both. If there is a shade of difference, "event management" tends to be used when the family is picturing a company with crew, and "planner" when they are picturing a person who takes decisions with them. Ask what the firm actually does rather than which word it uses.

What does marriage event management cost in Bangalore?

It is quoted per wedding against the number of functions and crew days rather than from a rate card. Ask two studios for a flat fee against the same written scope and you will get a comparison that means something; ask for a ballpark and you will get two numbers built on different assumptions.

Is the decor included in the management fee?

Not here. Design and decor are quoted separately for their own scope and production. Bundling them hides which half of the number is crew and which half is the set, which makes it impossible for you to trim one without cutting the other.

Can you manage only the muhurtham and reception?

Yes. Management can start at any function, and many families take only the two large days. What we ask for is enough lead time to build a run sheet and brief the vendors you have already booked, because a management team walking in cold on the morning is theatre, not management.

Do you handle the catering count and the minimum guarantee?

Yes, when catering is in scope. Someone has to own the number that the venue bills against, update it as RSVPs move, and tell the family when the guarantee is about to be crossed. If nobody owns it, the reconciliation happens after the wedding, which is the worst time.

What happens if it rains at an outdoor venue?

The proposal names who makes the call and by when, and the wet-weather plan is drawn before the build starts rather than improvised. The call is usually made hours earlier than families expect, because moving a built set takes a crew and a window.

Will you work with vendors we have already chosen?

Yes. We take zero commission, so there is no financial reason to push our own list. The only vendors we will argue about are ones whose delivery we have seen fail, and we will tell you what we saw rather than just marking them unsuitable.

Do you work outside Bangalore?

Within the drive-out belt — Nandi Hills, Coorg, Mysore, Chikmagalur, Sakleshpur — and in Goa and Kerala, where we have run weddings repeatedly. Travel and stay for the crew are quoted in and stated.
