Wedding planners in India — how to choose one

A wedding planner in India is hired for one of three scopes: day-of coordination, partial planning from a fixed point, or full-service planning that runs design, vendors, budget and the run sheet end to end. Fees are quoted either as a flat amount for an agreed scope or as a percentage of spend. The three scopes, and which one you are actually asking for

Almost every disagreement about planner fees is really a disagreement about scope. Before you compare two quotes, settle which of these three you want, because they are different jobs with different headcounts on the ground.

There is no fixed minimum or maximum wedding budget at this studio. Planning scope is discussed wedding by wedding, and the fee is quoted for the scope agreed in writing.

Flat fee or percentage — and what changes the number

A percentage fee rises with every rupee you spend, which puts the planner's income and your restraint on opposite sides. A flat fee for a written scope does not. Ask which model you are being quoted, and ask what happens to the fee if the guest count or the number of functions moves after signing.

  • Whether design and production are in scope, or only coordination
  • Travel and stay for the team if the wedding is outside Bangalore
  • How much of the hospitality — rooms, transfers, guest desk — sits with the studio

How to verify any planner in India before you pay an advance

Five checks that take under an hour

  1. Ask for the registered entity name and company identification number, then look it up on the MCA master-data portal yourself.
  2. Ask whether the fee is flat or a percentage, and whether the studio takes any commission from vendors it recommends.
  3. Ask for a GST invoice for the planning fee and check the GSTIN is in the company's name.
  4. Ask who from the team is physically on site on each function day, by name and role — not how many people the company has.
  5. Ask for two clients whose weddings were the same size and city as yours, and call them.

Planner, organiser, event manager, decorator — the same search, four words

Indian search language for this category is unusually split. In our own Search Console data across sixteen months, the planner wording and the event-management wording pull separate crowds, and "marriage event management" alone is one of the largest single phrases we are seen for. They are mostly the same buyer using a different word.

Questions couples ask

How much does a wedding planner in India cost?

There is no single national number, because the fee tracks scope and days rather than a rate card. What you can compare is the model: a flat fee against a written scope, or a percentage of total spend. Ask both studios you are comparing to quote the same scope in the same model, otherwise you are comparing two different jobs. Our Bangalore fee page walks through what moves the figure.

Do wedding planners in India take commission from vendors?

Some do, and it is rarely disclosed on the quote. It is worth asking directly, in writing, because a commission means the recommendation you are being given is also a sale. Panigrahana takes zero vendor commission and clients pay vendors directly, which is why our recommendations can be argued about on merit.

Is a flat fee or a percentage safer for me?

A flat fee for an agreed scope is easier to control, because the number does not move when your spend does. A percentage can be fine if the base it applies to is defined precisely and capped. The risk with a percentage is not dishonesty, it is that nobody in the room has a financial reason to talk you out of an upgrade.

Who are the best wedding planners in India?

No honest studio can answer that about itself, and any page that ranks the whole country is usually a listicle sold by the slot. A more useful question is who is the best planner for your city, your guest count and your budget, which narrows the field to a handful you can actually check references on.

When should we book a planner?

Before the venue, if you can. The venue decision sets the ceiling on everything — guest count, catering model, whether decor can be built or only dressed — and it is the one decision that is hardest to reverse. Families who book the planner first usually spend less, because the shortlist is drawn against a budget rather than a photograph.

Do you work outside Bangalore, Goa and Kerala?

For Indian families we also run weddings in Bali, Sri Lanka and Thailand. Inside India we deliberately do not take weddings in cities where we have no standing crew, because the quality gap between a resident team and a flown-in one shows up on the day, not in the proposal.

What does a full-service planner actually do that we cannot?

Three things that are hard to do from inside the family: hold the budget against pressure, tell a vendor their work is not good enough, and run the timeline while you are getting ready. The rest — shortlists, bookings, follow-ups — you can do yourself if you have the hours.

Can we hire you only for the design and decor?

Yes. Design and decor are quoted separately for their own scope and production, and we have worked alongside coordinators the family appointed. The one thing we ask for is enough access to the venue and the schedule to build properly, because sets are built to a site, not to a catalogue.
