NRI Wedding Updates: A Weekly Plan Across Time Zones
A weekly update format for couples abroad: decisions, responsibilities, dates and a clear record of what was approved.

When planning an Indian wedding from abroad, agree a regular update and a written decision record with your planner. Every open item needs an owner, a decision deadline and a link to the current version. Calls settle questions; the written record tells everyone what was agreed.
Start with the next decision, not the message history
A long WhatsApp conversation can contain photographs, revised quotations and family suggestions without identifying the decision you need to make. Ask the person preparing your update to put the next decision first. What must you choose, what information supports it, and what changes if you delay? An update saying that decor is progressing does not answer those questions.
Before the first planning meeting, agree the channel for routine updates and the channel for time-sensitive issues. Put calls in a shared calendar with the participants’ actual time zones. A recurring calendar invitation is more dependable than remembering a fixed hour difference, especially when clocks change in the country where a couple lives.
Use one short record per decision
The following is an illustrative worksheet, not a record from a client wedding. Copy the fields into your planning document and keep each row attached to its current drawing, quotation or schedule.

Agree what silence means
Being asleep or at work is not an approval. Ask the team to show an unanswered item as pending rather than assuming that a read receipt closes it. If a venue needs an answer before the next scheduled call, ask for the available options and the consequence of missing that deadline in one message.
Separate an urgent operational decision from a preference that can wait. Your escalation arrangement should name a contact and a backup, with hours or availability agreed for your wedding. Keep family input visible without losing the agreed version
Choose who can collect family suggestions and who can approve a change. A parent can raise a useful concern about ceremony seating without accidentally authorising extra production. Record the suggestion, ask the relevant designer or planner for its effect, and then send the revised decision to the agreed approver.

End the call with the work that follows
Before everyone leaves, read back the decisions made, the information still missing and the next owner for each open item. Send the written recap through the agreed channel. If the recap misstates a choice, correct that version so the designer, planner and family are not working from different memories.

Yes. Agree how approved decisions and current files are retained so important information can be found after the conversation moves on.
