A wedding responsibility sheet names who prepares each task, who approves it and who delivers it on the day. The hotel, planner and decorator may cover different parts of the celebration. Confirm the actual scope for your booking instead of assuming that “end to end” means every service is included.
Start with the handovers
A room can be booked without the guest-arrival process being organised. A stage can be designed without its final performance schedule being confirmed. These are the points where two teams need information from one another. Write them down while you are comparing proposals.
Give each task one coordinating owner, even when several suppliers contribute. That person should know the deadline and who must approve the result. This makes it easier for a family living elsewhere to understand where a decision is waiting.

Separate an introduction from ongoing management
A recommendation is useful, but it is not the same task as managing the service. If the planner introduces a photographer or makeup artist, ask who follows up on the schedule, location and final requirements. If the family books a supplier directly, give the coordinating team the information they need to include that supplier in the showflow.
Make financial responsibilities equally clear in the planning sheet: who sends the estimate, who receives payment and who confirms the booked scope. This is an administrative record, not a substitute for the supplier’s own agreed terms.
Put design and management in the same conversation

Adding a function, another hotel or a new performance can create a new handover. Revisit the relevant rows and confirm who is doing the additional work. Before the wedding, share a concise contact and responsibility list with the people who need it. Guests should have a clear route for help without having to call the couple during a ceremony.

Their responsibilities may overlap, but they are not automatically identical. Compare the confirmed scope for guest logistics, outside suppliers, design approvals and live event coordination.
Should every family member contact suppliers directly?
Keep everyone involved in the decisions that matter to them, but nominate a coordinating contact so the supplier receives one clear set of approved instructions.
