Compare wedding decor quotes against the same drawing, dimensions, quantities, materials and installation schedule. A lower total is only comparable when both proposals include the same physical work, labour, lighting, transport and removal.
Start with one agreed brief
Two proposals can both say ‘floral mandap’ and describe very different structures. One may include flowers only across the front. Another may cover the roof and all four sides. A photograph beside either description cannot settle the difference. Ask both teams to price the same marked drawing, with the parts you expect guests to see identified.
Make a separate scope for each function. Record its space, setup access, guest arrival time and finish time. A reception quote should not quietly include the haldi furniture while the competing quote lists that furniture separately. Keep optional ideas outside the comparison total until you decide to include them.

Keep the unpriced work visible
Use three status labels: included, excluded and awaiting confirmation. Do not enter zero beside an unanswered cost. Zero means the work is included without an additional charge; an empty price means you still do not know. Ask the supplier to state whether the total includes applicable taxes and venue-related charges, without assuming that another supplier applies the same treatment.
Changes also need a price trail. If you increase the stage width after approval, ask for a revision showing the changed line and its effect on the total. Keep the previous version. This makes it possible to decide whether the larger stage matters more than a different floral feature, instead of discovering the increase among several unrelated additions.
Read the quote beside the design
Put the quotation and the latest drawing on the same screen during your review call. Point to each prominent feature and find its corresponding line. Check the less photogenic work too: steps, access routes, backstage screening, cable management and dismantling arrangements. Ask who will confirm any venue permissions or structural requirements rather than treating a moodboard as an approved construction plan.

Bring these documents to the final review
Keep the latest design version, priced scope, list of exclusions, payment milestones and change approvals together. Name one person on each side who can approve changes. If a verbal discussion produces a decision, add the decision to the written record before the next revision. Your final check is simple: can someone who missed the meeting understand exactly what has been agreed?

No. Guest count affects seating and some service needs, but decor also depends on the spaces, structures, finishes, floral coverage and installation schedule.
Should every decor quote include a 3D render?
Ask what design documents are included. A render can explain appearance, but dimensions, materials and the priced scope are still needed for an accurate comparison.
What if an item has no price in the proposal?
Mark it awaiting confirmation. Ask whether it is included, optional or excluded before treating the proposal total as complete.
