Wedding Guest Changes: Who Approves Rooms and Extras?

A practical room-change record for overseas couples, family hosts and wedding hospitality teams to agree before guests arrive.

Before guests arrive, agree who can approve an extra room, extra night, room upgrade or added transfer. Keep requested changes separate from confirmed bookings. Each approved change should name the guest, dates, cost responsibility and the person who informed the hotel or supplier.

A guest request is the start of a decision

Someone arrives a day earlier. A relative asks the hotel for a better room. A family adds a car after the transport plan has been sent. These requests can be reasonable, but the hospitality team needs to know who is allowed to accept their consequences.

Start by separating what the hosts have offered from what guests arrange themselves. Record the hosted dates, room category and any meals or transfers included. If a guest extends a stay, ask the hotel to confirm how that extension is booked and paid for. The agreed booking terms govern the arrangement.

Write down the route for changes

Choose a person or role to receive requests, a person who can approve spending and a contact who sends the final instruction to the hotel. Those can be different people. The purpose is to stop an informal conversation from becoming an unexpected booking.

Tell the hotel and transport supplier how to recognise an approved instruction. Ask how they handle requests made directly by relatives or guests, and record the process both sides accept. A family spreadsheet on its own does not instruct the hotel.

Keep personal information out of broad family chats

Share the information each person needs to do their part. A driver needs an agreed pickup arrangement and contact; they do not need the whole family’s planning record. Use the hotel’s requested process for any personal documents it needs. A general planning group is a poor place to circulate them.

Keep the operational rooming list current and tell the team which version to use. If two relatives update separate copies, reconcile them before sending an instruction. The same discipline helps with guests spread across two hotels or arriving on different days.

Agree the wedding-week handover

Before the programme starts, confirm which changes remain open and who is available to handle them. Give the couple a way to receive decisions that truly need their approval while the hospitality lead handles work already agreed.
