A wedding planner fee pays for the agreed planning and coordination service. It is not automatically the total wedding budget. Ask for separate figures for planning, decor production, venue and hospitality, and independently booked suppliers, with inclusions and payment recipients identified.
The number on the first page needs a scope
A wedding planner cost search can lead to two proposals with very different totals. Before deciding that one is expensive, check what each number buys. One may cover professional planning only; another may combine design, fabrication and installation. A hotel package can introduce a third total covering rooms, meals and event spaces. Put these figures into separate columns before comparing them.
This distinction is visible in the market. Weddings N Dreams, for example, explicitly separates its professional planning and coordination fees from venue, accommodation, decor and other supplier costs on its own website. Your proposal needs its own written scope.
Give each payment a clear destination
Ask who issues each estimate and who receives payment. A planner may coordinate a supplier without receiving that supplier’s fee. If the family books a service directly, record it in the wedding budget so it does not disappear from the overall picture. The planning team also needs the booked deliverables and contact person to include that service in the schedule.
Use four headings in your working budget: planning and coordination; design and production; venue and guest hospitality; other suppliers. Under each, write the quoted amount, what is included, what remains unconfirmed and who has the latest version. You can use these columns even when suppliers invoice differently.
Ask what happens before the wedding
A planning fee should describe the work before guests arrive. Clarify whether venue research, supplier follow-up, meeting preparation, guest information and timeline management are within the scope you are discussing. Ask how many functions and locations the proposal covers. An added welcome dinner may require work even when its decor is simple.

Read the payment schedule beside the delivery schedule
For every proposed payment, ask which booking or delivery stage it relates to and what information you will receive at that point. Keep the agreed schedule with the accepted proposal. Record paid amounts and upcoming dates so two family members do not independently act on different versions.
Do not infer a company’s cancellation, refund or payment terms from an article or another couple’s wedding. Read the terms attached to your own booking and ask the supplier to clarify any ambiguous line. This guide does not supply a standard deposit percentage because the right record is the one agreed for your event.
Use a small change example before a big change happens
Imagine adding an evening lounge after approving the original design. Ask the team to show the additional furniture, lighting, transport and setup work, together with anything removed from the first version. The revised total should be traceable to those changes.
