How the Rooms Math Actually Works
Every guest list resolves to roughly one room per 2.5–3 guests. The working assumption we use when negotiating blocks: about 60% of guests are couples sharing a room, and 40% are individuals and family groupings — for 150 guests that lands at 40–60 rooms for a 3-night block. Families with children compress the number; a guest list heavy on single friends expands it. The calculator above shows the range, because committing to a single number before RSVPs is how attrition penalties happen.

Room Blocks, Not Ad-Hoc Bookings — and the Attrition Trap
A negotiated block gets you two things ad-hoc booking never will: a group rate typically 15–20% below rack, and guaranteed availability on peak dates that otherwise sell out months ahead. The trap on the other side is attrition: commit to 60 rooms, fill 42, and the contract bills you for the gap. The discipline: block conservatively, then add rooms as RSVPs firm up. Adding rooms is a phone call; releasing them is a negotiation.
Transfers: Arrival Waves, Not Vehicle Counts
Guests do not arrive as one group — they land in waves across the day before and the morning of the first function. Plan coaches per wave (a full-size coach seats about 40), plus a handful of cars for grandparents, the bridal party and anyone landing off-schedule. In Bali, where dedicated transfer vehicles are essential, budget roughly ₹2–4 lakh per 50 guests for the wedding's transfer fleet. In Goa and Kerala the same wave logic applies with shorter runs; what matters is a manifest — who lands when — not a bigger fleet.
