How many rooms do we need for our guest list?
Build a room allocation by household and agreed occupancy rather than dividing the guest count by an assumed average. Confirm room types, extra beds, children and accessible rooms with the hotel. Eighty overnight guests do not automatically require eighty rooms.
What is the difference between guests, rooms and room nights?
Guests count people; rooms count booked units; room nights count each unit for every night it is booked. Forty rooms for two nights means eighty room nights. Meal counts and additional-bed charges are separate quantities and must not be silently included.
How should we plan rooms when guests arrive on different dates?
Make a dated room allocation for each arrival and departure pattern. Calculate each group's rooms multiplied by nights, then add the groups. Check whether early check-in or late checkout requires an extra night under the hotel's actual terms.
Can guests pay for their own rooms within a wedding room block?
Ask the hotel whether guests can reserve and pay individually under the block, and who guarantees unbooked rooms. Give guests the booking instructions and deadline. Guest payment does not automatically remove the host's contractual minimum or cancellation exposure.

Ask guests privately what arrangements they need and collect only the details needed for allocation. Confirm accessible routes and room features with the property. Avoid putting medical details, children's information or named room lists into a public planning link.
What happens if the wedding venue cannot accommodate all overnight guests?
Compare a second property, transfers and an agreed meeting point. Check travel time, service hours and who supports late arrivals. Keep accommodation allocation separate from ceremony seating capacity so a large lawn does not imply sufficient overnight accommodation.
Build the allocation before multiplying
List each stay group with arrival date, departure date, number of rooms and confirmed room type. Keep extra beds and occupancy restrictions separate until the hotel confirms them. Split a group when its members stay for different lengths of time.
A room allocation also needs a payer and booking status. Invited, interested, booked and checked in are different states. Review the allocation before each agreed hotel deadline and record who can approve additions.
Plan transfers from arrival groups
Group actual arrival times and destinations before requesting transport. Confirm the passenger and luggage requirements with the transport provider. Guests going to a different hotel or arriving much later may need a separate arrangement.
Keep a named contact and a way to communicate an arrival change. Confirm the transfer list against the room allocation so an updated flight does not leave an old hotel destination in the driver’s instructions.
