Book a hotel if you want one contract, one accountable operator, rooms in the same building and a service standard you do not have to supervise. Book a standalone venue or garden property if you want to see every price separately, choose your own caterer and designer, and keep control of the build. The hotel sells convenience and charges for it through a food and beverage minimum. The standalone sells freedom and hands you the coordination.

A hotel wedding is a single procurement decision. One operator holds the kitchen, the staff, the rooms, the licences, the security and the parking, and one manager is answerable when something goes wrong at eleven at night. That is genuinely valuable and it is what you are paying for. It is also why the hotel decides what you may bring in.
A standalone venue — an independent banquet property, a garden, a farm, a heritage building — sells you a space for a stated number of hours. Everything that happens inside it is contracted by you or by your planner. You see the caterer's real per-plate, the decorator's real quote and the rental as its own number, which is the transparency families ask for, and you also inherit every coordination problem the hotel would have absorbed.

Minimum spend: the number that actually decides the hotel
Most five-star banquet deals are not rentals. The ballroom is released against a food and beverage commitment, which means the venue cost is hidden inside the per-plate and underneath it sits a floor you have agreed to reach. If your guest count drops, you still pay the floor. That single mechanic explains most of the unpleasant surprises in hotel weddings, and it is entirely avoidable if you ask about it at the first meeting.
The minimum-spend questions, in the order to ask them
- Is there a food and beverage minimum for our date and our slot, and what is it?
- Does the minimum count food only, or food and beverage, or the whole invoice including rooms?
- What happens if our final guest count comes in below the number the minimum assumes — do we pay the shortfall?
- Is the per-plate inclusive of service charge and taxes, or are they applied on top of the minimum as well?
- Is the minimum different for a Saturday, a peak-season date or a muhurtham date?
- If we take rooms as well, does the room revenue count towards the minimum?
A standalone venue has the mirror-image trap. The rental looks clean and low, and then power, cleaning, security, waste removal, generator fuel and hours beyond the contracted end time arrive as separate lines. Neither structure is dishonest. Both are only comparable once you force them into the same shape: all-in cost, same guest count, same menu standard, same number of hours, taxes treated identically.
Tied vendors, and what an outside-vendor charge really buys
Hotels empanel vendors for sound reasons: a known team turns up with insurance, works to the property's safety rules and does not damage a ballroom. It also means the property has a commercial relationship with the supplier you are being steered towards, and that your designer, if you have one, becomes an outsider who pays to enter.
Ask what the outside-vendor charge is in rupees rather than whether outside vendors are allowed. Then ask the more important question: what load-in window does an outside team get? A design that was drawn for your wedding needs hours on site. If the same ballroom is hosting a corporate lunch that day, the honest answer may be four or five hours between clear-out and guest arrival, and that constraint, not the entry fee, is what will change the design.
This is the practical reason tied-decor venues produce weddings that resemble each other. A short build window rewards a set that has been built before. An original mandap, fabricated for one family, needs time on the floor. Ask for the window in writing and design inside it, or choose the property that gives you the previous evening.
Standalone venues are usually open, but not always. Some independent properties run their own decor arm and price the rental low precisely because they expect the decor contract. Ask the same question in both directions: what does the venue earn if we bring our own people, and what does it earn if we use theirs?
Alcohol: licence, corkage and the standalone workaround
A licensed hotel serves under its own licence. That is the simplest arrangement in existence: you order, they pour, it appears on the invoice. If you want to bring your own stock, the hotel will usually allow it and charge corkage per bottle, and whether that saves money depends entirely on the corkage rate against the bar list. Ask for both numbers before you assume either.
A standalone venue that is not itself licensed needs a temporary event licence for the function. Some venues arrange this routinely and include it; others expect you to. Either way it is a permission with a lead time and a named applicant, and it is not something to discover in the final fortnight. Ask who applies, in whose name, by when, and what it costs as a line on the quote.
Settle these before the contract, not after
- Who holds the licence for alcohol served at our function, and is it already in place?
- If we bring our own stock, what is corkage and is it per bottle or per guest?
- Is there a last-pour time written into the contract, and does it differ from the closing time?
- Who is responsible if the licence does not come through — is the deposit protected?
- For a dry ceremony followed by a bar at the reception, can the two be separated on the same site?
What happens when the wedding runs three functions
Most Bangalore weddings are not one event. They are a mehendi or haldi, a sangeet, a muhurtham and a reception, spread across two or three days, and the venue decision looks completely different once you count all of them instead of the biggest one.
How to test a venue against a three-function wedding
- Ask which specific spaces are being held for which function, by name, and get them written into the contract rather than described in a meeting.
- Ask whether any of those spaces is also available for sale to another event on your dates. If it is, your sangeet is competing for the same staff.
- Ask how long the turnaround is between your own functions in the same space, because that gap is the decor change and there is no negotiating with the clock.
- Count the guest journeys. In a hotel, guests move between floors. Across two standalone sites, an older guest crosses the city twice a day.
- Ask what the contracted end time is for each function and what an extra hour costs, function by function.
- Decide where the late night lives. An enclosed hall can carry amplified sound after the national night cut-off; a lawn cannot.
This is where the hotel earns its premium. Three functions under one roof, with rooms above them, removes the failure mode that actually ruins weekends: people arriving late, tired and separately. A standalone venue matches it only when the property is genuinely yours for the whole weekend — and then it often beats the hotel, because the space is yours to build in from the previous evening.
What to put in front of your parents — and what we will tell you plainly
The couple does the searching; the parents hold the budget and ask the two questions that decide it: what is the total, and who is responsible if it goes wrong. A mood board does not answer either. A single page with two columns, the same guest count, the same menu standard, all-in totals with taxes treated the same way, and a line on who carries the risk on the night — that answers both, and it usually ends the argument in one sitting.
Now the part that works against the sale. A standalone venue is not automatically cheaper. Once you add power, cleaning, security, an outside caterer's logistics and the hours your team needs on site, an independent property with a high rental can land close to a hotel that was quoting an all-in per-plate. If your family values not managing five suppliers more than it values seeing five prices, the hotel is the right answer and we will say so at the first call.

Ask whether it counts food only or the whole invoice, whether rooms count towards it, whether taxes sit inside or on top, and whether it changes for a Saturday or a peak date.
Can we use our own decorator at a five-star hotel?
Usually yes, with an outside-vendor charge and conditions. The more important question is the load-in window. If the ballroom is hosting another event on the same day, an outside team may get only a few hours between clear-out and guest arrival, and that constraint shapes the design far more than the fee does. Add the outside-vendor entry fee where one applies, and the cost of holding the space for a build day. Ask for each of these as a written line on the quote rather than as a verbal reassurance, and ask what the overtime rate is per hour and who authorises it on the night.
Can we run amplified music late at an outdoor standalone venue?
Not lawfully past the national night cut-off. The Noise Pollution (Regulation and Control) Rules, 2000 restrict loudspeakers and public address systems at night except in closed premises such as auditoria, community halls and banquet halls. That exception is precisely why an enclosed hotel ballroom can carry the late part of the evening and an open lawn cannot. Plan the loud hour to end before the cut-off and move anything later inside.
