What does a 300-guest wedding in Bangalore cost?

We publish no total, because at 300 guests the honest answer changes shape. Three hundred is the threshold where the venue list narrows sharply: parking, service ratio and the shape of the service line start to decide what is possible, and a venue that was comfortable at 200 becomes a compromise. So the cost question becomes a capacity question. This page gives you the bill's structure at this size, the levers, and the questions that turn a range into a quote.

The difference between this page and a 200-guest budget is not a multiplier. Several lines step up rather than rise smoothly — an extra service line, a second bar, more parking, more staff, sometimes a second hall — and a step does not scale. Where a figure would have to be invented, this page names the driver instead and gives you the question that makes a vendor commit to it in writing.

Why this page prints no total, and why a 200-guest number scaled up is worse than none

The cost guides that rank for this query print a tier table and leave the guest count out of it entirely, or they take a smaller wedding's figure and scale it. Both are wrong in the same way. Between 200 and 300 guests several lines do not rise — they step. An extra service line is not fifty per-plate additions, it is a decision the kitchen makes. A second bar is a second bar. Parking either works or it does not. None of those behave like a multiplier, which is exactly why no single figure survives contact with your venue.

A total you cannot defend becomes the number your family remembers, and every real quote afterwards looks like an overrun against a figure nobody signed. So this page does something more useful: it names what sets each line at this specific size, says whether the line scales or steps, and gives you the question that converts it into a written quote for your date.

Nearly every couple arrives having read the same guide under several different mastheads: a four-tier ladder of planner fees and a share-of-budget rule of thumb, repeated near-identically across a dozen blogs with no primary source behind any of them. We name the frame because your first phone call will happen inside it.

At this guest count it fails in a specific way. A share-of-budget rule assumes the budget is known and the cost curve is smooth. At 300 guests the curve is not smooth — it steps — so a rule of thumb calibrated on a smaller wedding under-reads the lines that jump and over-reads the ones that do not. The marketplaces are more honest and less useful: a price-from line tells you the floor of a vendor's range and nothing about a room that has to hold three hundred people.

Use them to learn who exists and how the industry talks. Do not use them as a budget. Your budget is the twelve-row sheet above with your venue and your date written into it.

Panigrahana publishes no wedding total. The planning fee is quoted for the agreed scope of work, and design and decor are quoted separately for their own scope and production. There is no fixed minimum wedding budget and no cap. We take zero vendor commission and clients pay vendors directly.

What actually changes between 200 and 300 guests

Three hundred is the number at which a Bangalore wedding stops being a guest-list problem and starts being an operations problem. The shortlist is the first casualty: a good number of standalone properties and smaller ballrooms that were generous at 200 are now either tight, or workable only if you accept a layout you would not have chosen. That narrowing is the real cost event, because a shorter shortlist is less negotiating room on every other line.

Venue shortlistMost standalone properties and most single ballroomsNarrows sharply; several properties only work with a compromise on layout or flow
SeatingOne comfortable seating, usually with room to spareEither a larger hall, a hall plus a covered lawn, or a staggered seating plan
Service formatA single buffet line or table service handles the roomA second service line, or duplicated counters on both sides of the room, becomes necessary
Service staffA standard ratio the caterer supplies without discussionThe ratio has to be specified and written into the quote, or it quietly drops
BarOne bar pointTwo bar points, or a queue that becomes the evening's defining memory
ParkingRarely the deciding factorFrequently the deciding factor; valet, an overflow lot and traffic marshals enter the budget
KitchenComfortably inside the venue kitchen's throughputApproaching the limit for some venue kitchens; ask what the kitchen was built for
Decor footprintSet by design, largely independent of guest countSet by design, but the room is bigger, so the same design costs more to fill
Rain planA covered alternative that existsA covered alternative that has to actually seat 300, which is a different question
Cost curveRoughly linear per head on the lines that scaleStepped — several lines jump at a threshold rather than rising smoothly

The honest consequence: at 300 guests the cheapest-looking venue is often the one that cannot hold the wedding you want, and the money you save on the rental comes back as parking, a marquee, an extra service line and a longer evening. Price the wedding, not the venue.

Service ratio, the second line, and where the evening goes wrong

Nobody remembers a wedding by its per-plate rate. They remember whether they waited. At 300 guests, food service is the first thing that visibly fails, and it fails for structural reasons that are entirely predictable and entirely fixable at quoting stage, if you ask.

The four things to specify in writing before you sign a caterer

  • The number of service staff on the floor, stated as a number for your guest count, not as a phrase like adequate staffing. If it is not a number in the quote, it is not a commitment.
  • Whether the buffet runs as one line or two, and whether the counters are duplicated on both sides of the room. A single line at 300 guests is a queue, whatever the menu costs.
  • Where the live counters sit relative to the seating and the bar. Counters placed to look good in a floor plan and counters placed to keep people moving are rarely the same placement.
  • The service window — how long food is on the floor, and what happens to the last table. This is the difference between three hundred people eating and two hundred and forty people eating.

The same logic runs through the rest of the evening. Two bar points instead of one. Two entry points if the guest arrival is compressed around a muhurtham. Enough washroom capacity for a room this size, which on older standalone properties is a real constraint and not a detail. Ask the venue how many weddings of 300 it has actually run, and ask what broke. A property that answers that question honestly is telling you more than its rate card does.

This is also where the parking conversation stops being administrative. At 300 guests, arrival is a bottleneck: guests come in a compressed window, and if the vehicles do not clear the approach road, your muhurtham does not care. Valet, an overflow arrangement and marshals are a line in the budget at this size, not an afterthought.

The structure of the bill at 300 guests

Build the budget as these rows. The third column is the one that matters at this size: it separates the lines that rise smoothly with the guest list from the ones that jump at a threshold, and the jumps are what wreck a budget built by multiplying a smaller wedding.

Notice how many rows say steps rather than scales. That is the whole character of this guest count. Venue capacity, bar points, service lines, parking and photography crew all jump at a threshold, and three hundred sits near several of those thresholds at once. It is the least forgiving number in Bangalore wedding planning, which is precisely why it deserves its own page.

The levers that actually move the total at this size

At 200 guests the strongest lever is the number of functions. At 300 it is the venue decision, because the venue now determines whether you are paying for a wedding or for a workaround. These are the levers in rough order of force, with what each one costs you.

What moves the number at 300 guests, and what you give up
LeverWhat it movesWhat you give up
Choosing a venue that genuinely holds 300Removes the marquee, the overflow parking and half the production workarounds at onceShortlist length, and possibly the property you had emotionally chosen
Splitting the guest list across functionsLets a smaller ceremony and a larger reception each sit in the right roomThe single-event feeling, and a family conversation about who is invited to what

Menu architecturePer-plate rate — counters and premium proteins move it faster than menu lengthVariety

Design footprint versus design finishDecor and production: the area you dress moves it more than the flowers doScale of the set, not its quality
Guest listCatering, rooms, transport and invites — and, at the margin, venue eligibilityAt 300 this lever is sharper than at 200, because twenty guests can move you across a capacity threshold
Lead timeEverything. At 300, the venues that work are booked earliestNothing, if you start early

One warning about the cheapest lever of all. Reducing the guest list from 300 to just under a venue's stated capacity looks like a saving and sometimes is one — but a venue quoting its maximum capacity is quoting a fire-code number, not a comfortable seating. Ask what it seats for a dinner with a stage, a dance floor and a service line in the room. That is usually a smaller number than the brochure's.

What sits outside the quote

GST and service charges are usually additional to the figure you are first shown, and they apply differently to different lines. This page states no rate, deliberately: rates differ by service and change, and a rate repeated by a planner is not a rate you can hold a vendor to. Get the tax-inclusive figure in writing from each vendor before you compare anything.

The lines that arrive after the quote, and bite harder at 300

  • Service charge where the property levies one, applied to a larger base than you modelled.
  • The shortfall payable if you land under a minimum food-and-beverage guarantee — easier to clear at 300, but check what counts towards it.
  • Valet, overflow parking and traffic marshals, which are rarely in a venue's first quote.
  • Extended-hours charges, which at this size are more likely because service runs longer.
  • Generator and power charges, because the production load for a bigger room is bigger.
  • A marquee or covered structure for the rain plan that has to hold 300, not a token canopy.
  • Additional washroom provision on properties whose permanent counts were built for smaller events.
  • Vendor entry or outside-vendor fees, charged per vendor, so more vendors means more of them.
  • Damage and cleaning deposits, and the conditions under which they return.

A useful rule at this size: every physical thing that has a capacity — the room, the kitchen, the bar, the parking, the washrooms, the generator — is a potential extra line the moment your guest count crosses its threshold. Walk the venue counting capacities, not features.

What to show your parents

At 300 guests the guest list is usually not yours. It belongs to two families, and the conversation you are walking into is about whose names come off it. That conversation goes badly when you arrive with a range from a blog, because the first question is where the number came from and the honest answer is nowhere.

Take this in instead

  1. The twelve-line sheet, with your venue shortlist and date at the top, marked known and unknown line by line.
  2. The scales-steps-fixed column, because it answers the question they will actually ask: what does cutting thirty names save? At 300, the honest answer is sometimes a great deal, if those thirty move you under a capacity threshold, and sometimes very little if they do not. Being able to say which is the entire credibility of the sheet.
  3. The capacity walk: room seating, kitchen throughput, bar points, parking, washrooms. Parents who have planned a wedding before recognise this list immediately, and it is the fastest way to be taken seriously.
  4. For each unknown, the question you are asking and who you are asking it of. An unknown with an owner reads as a plan.
  5. A written note that GST and service charges are additional and are being confirmed per vendor, with no rate assumed.
  6. One concession you have already made against your own preference. Credibility is built by the concession, not by the pitch.

If the family wants 300 and the budget conversation wants 200, do not settle it with a number you invented. Settle it with the sheet: show which lines step at the threshold and which do not, and let the decision be made on the actual consequence. That is a conversation both sides can win.

The questions that turn a range into a quote

Send these to every venue on your shortlist, on the same day, in the same words

  1. What do you seat for a dinner at 300 with a stage, a dance floor and service in the room — not your maximum capacity?
  2. Is this a rental or a minimum spend, and what is the exact consequence of landing under the minimum?
  3. How many service staff will be on the floor for 300, and is that number written into the quote?
  4. One service line or two, and where do the counters and the bars sit on your floor plan?
  5. What is your on-site parking capacity, what is the overflow arrangement, and who marshals the approach?
  6. What is the covered rain plan that seats 300, and is it included or an extra structure?
  7. What was this kitchen built for, and how many weddings of this size have you run this season?
  8. What access hours do we get for build and strike, and what is charged beyond them?
  9. Which taxes and service charges apply to which line — please give the tax-inclusive figure.
  10. Who is the named person on site on the day, and are they in the contract?

The first question is the one that separates the venues. Almost every property in the city will say it holds 300. Far fewer will answer what it seats for a dinner with a stage, a dance floor and a service line in the same room, and the ones that answer precisely are the ones that have actually done it.

What Panigrahana does here, and what it does not

Panigrahana has planned weddings since 2018, incorporated as Wedvitez Planners Private Limited in 2023, with an in-house design studio, a thirty-person team, more than five hundred weddings and over a hundred and twenty-eight venue partners. We are architect-founded, and every mandap and decor piece is designed original rather than pulled from a rented catalogue.

What we do not do is quote a total before we know your date, your venue and your functions. We take zero commission from vendors and you pay vendors directly, so we gain nothing from a larger line and lose nothing by telling you a venue will not hold your wedding. Our planning fee is quoted for the agreed scope of work; design and decor are quoted separately for their own scope and production.

The sentence that costs us work: at 300 guests, the most valuable thing we do is often to talk a couple out of a venue they have already fallen in love with, because the room does not seat the wedding they described. That is a conversation that loses us a design brief and saves the couple a marquee, a second service line and an evening of queues. We would still rather have it early.

Questions couples ask

How much does a 300-guest wedding in Bangalore cost?

No page can tell you honestly without knowing your venue, your date and your functions, and a figure scaled up from a smaller wedding is worse than none. At 300 guests several lines step rather than rise: venue capacity band, bar points, service lines, parking provision and photography crew all jump at a threshold. Build the number as a twelve-row sheet — venue, catering, beverage, decor and production, photography, rooms, transport and parking, entertainment, attire, rituals, printing and contingency — and quote each row for your actual date.

What changes between a 200-guest and a 300-guest wedding in Bangalore?

The venue shortlist narrows sharply, which is the real cost event because it removes your negotiating room. Seating needs either a larger hall or a hall plus a covered lawn. Food service usually needs a second line or duplicated counters, and one bar point becomes two. Parking stops being administrative and becomes a deciding factor, since arrival is compressed around the muhurtham. And the rain plan has to genuinely seat 300, which is a different structure from a token canopy.

Why is the cost per head lower at 300 guests but the total much higher?

Because the lines that step are not per-head lines. Fixed costs like decor, photography, entertainment and the priest spread across more guests, so the average per head falls. Meanwhile you have crossed thresholds that add whole items: a bigger room or a second space, an extra service line, a second bar, valet and overflow parking, possibly a generator and extra washroom provision. Per-head arithmetic hides all of that, which is why per-head budgeting fails at exactly this size.

How many service staff should a caterer provide for 300 guests?

Ask for the number rather than accepting a phrase. The specific commitments to get in writing are the count of service staff on the floor for your guest count, whether the buffet runs as one line or two, whether counters are duplicated on both sides of the room, and how long food stays on the floor. A quote that says adequate staffing is not a commitment. A quote with a number in it is, and it is the difference between three hundred people eating and the last tables waiting.

Is a venue's stated capacity of 300 enough for a 300-guest wedding?

Often not. A stated maximum is usually a standing or fire-code figure, not a comfortable seated dinner with a stage, a dance floor and a service line occupying the same room. Ask precisely that question: what do you seat for a dinner at 300 with a stage, a dance floor and service in the room. The venues that answer with a specific layout have run weddings this size; the ones that repeat the brochure number have not, and you will discover the difference on the day.

Are GST and service charges extra on a 300-guest wedding quote?

Usually yes. GST and, where a property levies one, a service charge are typically additional to the figure first shown, and they apply differently to different lines. This page states no rate on purpose, because rates differ by service and change, and a rate repeated by a planner binds nobody. Ask every vendor in writing for the tax-inclusive figure and any service charge before comparing quotes, because at this size the charge applies to a larger base than you are probably modelling.

What should we show our parents when the guest list is the argument?

Show the sheet, not a range. Put the twelve lines down with your venue shortlist and date, mark each line known or unknown, and include the column that says whether each line scales with headcount, steps at a threshold, or is fixed. That column answers the question they will actually ask — what does cutting thirty names save — and the honest answer at 300 depends on whether those thirty move you under a venue's capacity threshold. Being able to say which earns you the rest of the conversation.

Does Panigrahana publish a price for a 300-guest wedding?

No, and not for any guest count. The planning fee is quoted for the agreed scope of work once the date, venue and functions are known, and design and decor are quoted separately for their own scope and production. There is no fixed minimum budget and no cap. We take zero vendor commission and clients pay vendors directly, so no line on your wedding is larger because of us. What we will give you before any fee discussion is the line-item structure for your specific wedding.
